Background

About CAAP: Community in Against Poverty (CAAP) is a local organization that has been officially registered by the FDRE Agency for Civil Society Organizations on December 24, 2018, under registration number 4091. CAAP works in the Somali region and focuses on responding to emergencies, development, and promote peace. CAAP’s vision is to create a poverty-free Somali regional state where women are empowered to create a resilient, inclusive, and fair future for themselves, their families, and their communities. CAAP’s strategic plan for the next seven years (2024-2030) aims to empower girls and women through integrated, sustainable, cost-effective, evidence-based, coordinated, and impactful programs in the Somali region and throughout Ethiopia. Currently, CAAP covers 38 woredas and 8 refugee camps, with a staff of over 70 people working across the region.

General context of the Program: CAAP is implementing a project entitled Provision of life-saving general food assistance to food insecure population and internally displaced persons in Fafen and Sitti Zones, Somali region”, with funding, technical support and in-kind contributions from the World Food Programme (WFP). The project implementation period is August 1, 2023, to October 31, 2025

JOB SUMMARY:

To ensure that the right commodities and goods are received, stored, and issued properly at the field office in accordance with organizational standards and procedures and Advanced ERP system experience is essential for supporting efficient tracking, reporting, and overall supply chain operations.

Main Tasks and responsibilities

Store and Inventory Management

  1. Maintain and file all purchase orders after verifying requisitions and ensuring all required approvals and signatures are obtained.
  2. Ensure adequate and secure storage arrangements for all commodities and goods, maintaining cleanliness, order, and safety standards.
  3. Maintain accurate and up-to-date inventory records (manual and/or digital), including stock cards & bin cards.
  4. Conduct regular physical stock counts (weekly, monthly, and semi-annually), reconcile with records, and report any variances.
  5. Monitor stock levels and communication reorder needs the supply chain coordinator to prevent shortages or overstocking.
  6. Ensure proper stacking, labelling, and documentation of all goods received and dispatched.
  7. In collaboration with the supervisor, they dispose of expired or damaged items according to organizational and donor compliance procedures.

Asset and Property Management

  1. Assist in maintaining asset custodianship records for staff and track movement of assets between locations.
  2. Support periodic asset verification and audits, ensuring records are accurate and up to date.

Procurement and Logistics Support

  1. Support the logistics team in receiving and verifying deliveries against purchase orders and delivery notes.
  2. Coordinate with procurement staff to ensure timely collection or transportation of goods from suppliers.
  3. Assist in preparing dispatch notes, waybills, and related logistics documents for outgoing materials.
  4. Ensure safe loading, unloading, and transportation of goods to and from the warehouse.

Compliance, Safety, and Quality Assurance

  1. Ensure all store operations comply with community in action against poverty ’s policies, quality management standards, health and safety regulations, and environmental requirements.
  2. Maintain warehouse security, ensuring restricted access, adequate lighting, and locking systems.
  3. Uphold community in action against poverty’s (CAAP) values.

Reporting and Documentation

  1. Prepare and submit weekly/monthly stock status reports, detailing all goods received, issued, and currently in storage.
  2. Maintain accurate and up-to-date inventory records and ensure timely reconciliation between physical stock and system records.
  3. Prepare and submit loss and damage reports for any discrepancies, expired items, or damaged commodities.
  4. Report promptly any security incidents, including break-ins, theft, vandalism, or force majeure events (e.g., fire, flood, or conflict) affecting stock or warehouse operations.
  5. Provide monthly and quarterly warehouse performance summaries as required by the supply chain coordinator.
  6. Support periodic audits and physical stock verifications and ensure proper documentation is available for review.

Other Duties

  1. Participate in logistics coordination meetings and contribute to improving operational efficiency.

Perform any other related tasks assigned by the supervisor or management

 

About You

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree in Purchasing and Supply Management, Supply Chain Management, or a related field.

Work Experience

  • Minimum of 4 years of relevant experience in storekeeping, inventory management, and logistics operations.
  • Advanced ERP system experience is essential for supporting efficient tracking, reporting, and overall supply chain operations.

Skills and Competencies

  • Strong interpersonal and teamwork skills, with demonstrated flexibility in demanding or changing environments.
  • Prior experience working with non-governmental organizations (NGOs) is an added advantage.
  • Excellent written and spoken English communication skills; proficiency in Somali language is mandatory.
  • Good understanding of community in action against poverty (CAAP) operational area and local context.
  • Demonstrated commitment to humanitarian values and principles.
