Job Description

Established in 2019, Deborah Foundation is a registered non-profit organization with a mission to improve the lives of children with Down Syndrome and other intellectual disabilities through support in the areas of Health, Education and Policy Advocacy

Summary:

The Executive Assistant provides high-level administrative and executive support to a senior leader. This role is responsible for managing the executive’s calendar, coordinating meetings and travel, handling sensitive information, recording and writing minutes of meetings, and serving as a trusted partner and gatekeeper. The Executive Assistant must possess exceptional organizational, communication, and problem-solving skills, with proficiency in Amharic, and English to ensure the efficient operation of the executive office.

Responsibilities:

  • Manage scheduling and calendar for the executive.
  • Draft, review, and send communications on behalf of the executive.
  • Organize and prepare for meetings, including logistics and document preparation.
  • Attend meetings and accurately record and prepare minutes of meetings for official record and follow-up.
  • Answer and respond to phone calls and relay messages to the executive.
  • Prioritize emails and respond when required.
  • Coordinate travel arrangements and itineraries.
  • Maintain organized records, files, and important documents.
  • Perform any other duties assigned by the executive.

Location: Deborah Foundation, Head Office, Bole behind Sur construction

Qualifications:

  • Bachelor’s degree in any field.
  • Minimum 1 year of experience as an Executive Assistant or in a similar senior administrative role.
  • Proven proficiency in speaking, reading, and writing Amharic and English (Afaan Oromo is an advantage).
  • Demonstrated ability to handle highly sensitive and confidential information with discretion.
  • Strong verbal and written communication skills.
  • Excellent organizational and project management skills with the ability to multitask and meet deadlines.
  • Proficiency in office productivity tools, calendar management, and administrative technologies.
  • Adaptable, proactive, and able to work independently in a fast-paced environment.
  • Strong problem-solving and decision-making abilities.
  • Professional demeanor and commitment to excellent service.

Skills and Abilities:

  • Excellent written and verbal communication skills.
  • Excellent typing and documentation skills.
  • Strong time management and attention to detail.
  • High level of organization and multitasking ability.
  • Proficient in Microsoft Office and common office software.
  • Strong interpersonal skills.
