The United Nations Guiding Principles on Business and Human Rights (UN Guiding Principles) is widely recognized as the most authoritative, normative framework guiding efforts to reduce or eliminate the adverse impact of business operations on human rights. Experts have described it as the single most important innovation in promoting sustainable business practices in the last 25 years – a role that is reinforced by its inclusion as one of the Means of Implementation of the 2030 Agenda for Sustainable Development (2030 Agenda).
Context
UNDP Ethiopia operates under the Standard Basic Assistance Agreement (SBAA) signed with the Government in February 1981 and works closely with the Government of Ethiopia and partners to advance sustainable development, democratic governance, peacebuilding, and climate resilience. The Operations Unit provides critical support functions to ensure that programmes and projects are delivered effectively, efficiently, and in compliance with UNDP rules and regulations. Within this framework, the Protocol and Customs Associate plays a pivotal role in facilitating smooth administrative processes related to protocol, customs clearance, travel documentation, and liaison with national authorities.
The role contributes directly to efficient service delivery for staff, projects, and international partners. Under the guidance and direct supervision of the Protocol and Customs Analyst, the volunteer will support administrative services related to protocol and customs clearance. The role requires a high level of accuracy, timeliness, and attention to detail, while promoting a client-oriented, quality- and results-focused approach, in line with UNDP rules and regulations.
Task description
Under the supervision of the Protocol and Customs Analyst, the UN Volunteer will contribute to the following tasks:
• Protocol Services: Provide support in the processing of residence permits, entry and exit visas, and visa extensions by liaising with the Ministry of Foreign Affairs and Immigration. Ensure that all required documentation is accurately prepared and submitted in timely and follow up on approvals and renewals as needed.
• Logistical Support: Facilitate customs clearance and shipment logistics by coordinating with relevant government authorities such as the Customs Commission and local customs clearing agents. Ensure the preparation and submission of all necessary documentation, manage official correspondence, and monitor the progress of shipments to ensure timely delivery and compliance with regulations.
• Documentation: Maintain organized and up-to-date records related to protocol and logistics activities. Assist in the filing, retrieval, and archiving of official documents.
• Cost Recovery: Assist in preparing cost recovery documentation for the services provided by the unit.
• Communication: Serve as a liaison between programme teams and UN agencies to facilitate smooth and effective information exchange and timely follow-up on pending actions.
• Administrative Support: Provide administrative assistance by participating in meetings, preparing meeting minutes, and supporting the day-to-day administrative operations of the unit, including scheduling, correspondence, and document management.
• Additional Tasks: Perform other related duties as assigned by the supervisor.
