The Logistics Officer is responsible for efficiently planning and organizing monthly activities, ensuring timely execution, and promoting a positive work environment. He/she is responsible for coordinating and managing all aspects of logistics and supply chain operations to support the efficient and effective delivery of programs and project supplies. He/she is required to have strong organizational skills, attention to detail, and the ability to work collaboratively with internal and external stakeholders to ensure timely delivery of goods and services.
· Develop yearly, quarterly and monthly activity plans and upload them on time.
· Prepare monthly activity report in the last week of every month before salary is effected.
· Develop a marketing assessment plan for logistic services at head and field offices.
· Develop and maintain logistics service procurement plans, schedules, and budgets in collaboration with the operation team.
· Develop contingency plans for emergency response situations, including natural disasters, conflict, or other disruptions to logistics operations.
· Ensure compliance with organizational logistics SOPs and checklists.
· Ensure that all logistic service purchases are done according to the procurement cycle.
· Manage and check whether the shipment is qualified according to the specification order and quantity.
· Prepare Good Receiving Note (GRN) for all the received items.
· Prepare dispatch notes for issuing materials.
· Liaise with transportation providers, customs authorities, and other relevant stakeholders to facilitate the smooth movement of goods across borders and checkpoints.
· Monitor the performance of transportation providers, ensuring compliance with contractual agreements and service level requirements.
· Coordinate transportation of goods and materials to project sites, ensuring timely delivery and cost-effective routing.
· Maintain accurate records of fixed assets, equipment, and vehicles, including acquisition, depreciation, maintenance, and disposal.
· Conduct regular inspections and preventive maintenance activities to ensure the functionality and safety of assets, coordinating repairs and servicing as needed.
· Ensure compliance with regulatory requirements, import/export regulations, and donor procurement guidelines related to logistics and supply chain activities.
· Prepare and maintain documentation related to logistics operations, including shipping documents, customs clearance forms, and inventory reports, ensuring accuracy and completeness.
Emergency Response
· Coordinate with internal and external partners to mobilize resources, transport aid supplies, and support relief efforts in affected areas as needed.
· Predispose emergency items to areas where disaster is imminent.
· Actively participate in the training, implementation and integration of the ERP system into daily operations.
· Actively engage in self-capacity-building initiatives.
· Pursue pre-requisite certifications mandated by the organization to support ongoing professional development and organizational transformation.
Carry out other activities given by the Operation coordinator.
Qualifications
● A degree in Logistics or Business Administration,
● Experience: Proven experience in the NGO sector in managing logistics or supply chain management through supply chain planning and coordination of transportation and distribution for more than 5 years.
● Requirements: Good organizational and planning skills for efficiently handling logistics operations, ensuring timely delivery and optimal resource utilization.
