About the role:

The Logistics Coordinator will be responsible for overseeing various logistics and procurement activities within the Ethiopia programme. Reporting directly to the Country Director, you will be leading and coordinating procurement and logistics functions ensuring efficient, compliant, and timely support to programme operations, including field activities in Tigray and other operational areas. The role supports programme scale-up, including EORE, survey, and clearance operations, and ensures logistics systems are adapted to complex and evolving security and access constraints.

Overview of role:

Responsible for leading and coordinating procurement and logistics functions for MAG Ethiopia, ensuring efficient, compliant, and timely support to programme operations, including field activities in Tigray and other operational areas. The role supports programme scale-up, including EORE, survey, and clearance operations, and ensures logistics systems are adapted to complex and evolving security and access constraints. It plays a key role in enabling the safe and efficient deployment of operational teams.

Responsibilities:

  • Procurement
  • Manage day-to-day procurement activities for the Ethiopia programme, ensuring compliance with MAG Logistics procedures, policies, and donor requirements.
  • Maintain accurate procurement records and ensure proper documentation and filing.
  • Liaise with suppliers and service providers to ensure timely and accurate completion of orders.
  • Cultivate effective supplier relationships to achieve the best possible price, quality, service, and terms for MAG.
  • Support rapid and emergency procurement to enable field deployment of mine action teams (EORE, NTS, EOD, clearance), particularly in hard-to-reach areas.
  • Lead and regularly review the supplier prequalification, vetting, and registration process, maintaining an updated supplier database with preferred suppliers.
  • Draft and manage contracts and framework agreements, ensuring all required approvals are obtained and contractual terms are adhered to by all parties
  • Regularly review price comparisons and monitor material/item costs.
  • Prepare and distribute weekly procurement reports to the Country Director, addressing any procurement-related issues.
  • Record all purchases of capital and non-capital assets, ensuring proper documentation and handover to asset management systems.
  • Support operations by managing end-to-end tender processes, including preparation of solicitation documents, bid evaluation coordination, approvals, and contract award documentation.
  • Review, validate, and approve procurement documents, including purchase orders, contracts, and framework agreements, ensuring accuracy, compliance with donor and organizational policies, and proper authorization.
  • Provide technical procurement support to the Support Services Officer for MAG operations, ensuring all procurement activities and documentation comply with donor requirements and MAG procurement policies.
  • Manage end‑to‑end compliant procurement processes, including freight, customs clearance, delivery, payments, and documentation
  • Perform other tasks assigned by the line manager.

About You

Distribution:

  • Collect and dispatch new equipment/supplies as required.
  • Ensure that all staff return all MAG assets upon departure from the programme.
  • Organize transportation of equipment/supplies to areas of operation.
  • Ensure accurate recording of incoming supplies/equipment on Goods Received Notes.
  • Ensure timely delivery of equipment to field locations in remote or access-constrained areas.

Logistics and Administration:

  • Maintain the Logistics office paper filing system and ensure correct filing of all documents, including Waybills and Goods Received Notes.
  • Support set-up and management of field bases (e.g. Aksum) including accommodation, storage, and logistics systems.
  • Coordinate and facilitate movement planning for field teams, including vehicles, access routes, costings, and contingency planning.
  • Support procurement and management of security equipment (e.g. communications, sat phones, tracking devices).
  • Coordinate fleet management, including maintenance, tracking, and allocation to operational teams.
  • Ensure logistics readiness for multi-task teams deployment.
  • Establish and maintain a complete and accurate asset register, ensuring proper tagging of new assets, tracking, allocation and documentation of all MAG assets.
  • Oversee premises management, including lease negotiations, renewals, and compliance with local legal and regulatory requirements.
  • Coordinate and oversee day-to-day operations of office and guest house, ensuring continuity of services and compliance with organizational standards.
  • Oversee efficient management of consumables and inventory, ensuring adequate stock levels and uninterrupted programme support.
  • Coordinate travel bookings including flight bookings, accommodation arrangements, and transportation coordination for MAG International and National Staff following travel policy guidelines
  • Liaise with the CD regarding asset-related matters.
  • Coordinate and facilitate movement plans including costings to ensure timely and efficient support for programmatic and operational needs.
  • Lead the planning and logistical coordination of conferences, team building and workshops, ensuring smooth delivery and adherence to MAG procedures.

Reporting:

  • Provide accurate dailyand monthly reports on activities.
  • Attend periodic meetings as directed.
  • Provide logistics and procurement inputs to operational planning and programme scale-up.

General Responsibilities:

  • Work withinthe framework of MAG’s core values.

  • Contribute to other fundraising initiatives where appropriate.

Essential requirements:

  • Previous experience in NGOs/humanitarian operations, preferably in complex or post-conflict environments; experience in mine action is an asset.
  • Minimum of 3 years of demonstrated experience in procurement and logistics.
  • Experience with tender processes.
  • Experience working in remote or insecure environments
  • Experience supporting field-based operations
  • Understanding of logistics in security-constrained settings
  • Experience with fleet and asset management in field operations
  • Self-organized, team player, and able to work under limited supervision.
  • Experience with Mine Action Organizations preferred.
  • Supervisory skills and ability to motivate and manage a small team an advantage.
  • Good literacy, numeracy, and IT skills (e.g., Word/Excel).
  • Strong negotiation skills.
  • Previous administration experience.
  • Strong computer skills.
  • Reliable with goodtime-keeping skills.
  • Language requirements – English & Amharic Mandatory.
