JOB SUMMARY

Under the direct supervision of the HRLOD Manager, the HR and Admin officer will facilitate and support the manager in domain of HR administration. The incumbent will Ensure best talent is attracted, developed and retained for the successful achievement of the Habitat for Humanity Ethiopia mission and goals. The Officer will support the department by ensuring safer recruitment procedures, in facilitating the development of job descriptions, preparing job adverts, checking application forms, shortlisting candidates, handle and maintain personnel records of all staff related to employment, promotion, appointment, salary adjustment, termination and other personnel details and Collaborate with Safeguarding person to ensure the implementation of the HFHE Global Safeguarding Policy and associated procedure

Essential Duties:

  • Support the HRLOD manager across the country program to ensure that safer recruitment procedures are embedded in local and program recruitment procedures.
  • Developing and posting vacancies, tracking, and reporting on recruitment processes.
  • Actively participate in developing job descriptions, specifications, preparing job adverts, checking application forms, shortlisting candidates.
  • Ensure all position descriptions are signed by both employee and supervisor and filed in staff files
  • Handle and maintain accurate employee records, including personal data, promotion, appointment, salary Adjustment, timesheet, and performance of probation evaluation, ensuring data integrity and confidentiality
  • Following up on an employee’s contract, particularly regarding its end and the initiation of a new contract, involves several important steps to ensure compliance with labor laws.
  • Managing employee identification numbers that issued ID cards and ensure that staff issued HFHE ID
  • Managing and tracking annual leave requests, ensuring accurate record-keeping of employee leave balances, and maintaining compliance with company policies and labor laws
  • Develop a structured onboarding plan that outlines objectives, timelines and key activities in consultation with concerned departments and follow up staff complete orientation with 15 days of hire.’
  • Facilitating the mandatory HR training for new employees through my Habitat platform and inviting and assisting new staff to access My Habitat platform.
  • Responsible for ensuring that all staff members acknowledge and understand the organization’s policies.
  • Ensure that all staff are included in the pension and/or PF schemes as per the internal policy of the organization, work closely with the government pension agency.
  • Liaise with the Insurance company, updating them with current staff information and managing the reimbursement process for unutilized insurance premiums. Additionally, this role ensures that all newly hired employees are enrolled in Group Insurance coverage.
  • Handle inbound phone calls, screening and transferring them to the appropriate departments or staff members
  • Receive and direct visitors and clients, ensuring they feel welcome and attended upon arrival
  • Follow up on payment process related to internet and mobile packages for all staff, collaborating with telecommunications providers
  • Facilitate guest visa applications in coordination with government offices, specifically the Citizenship & Immigration office.
  • Maintain effective communication with stakeholders to ensure timely processing of payments.
  • Prepare written responses to routine inquiries and open, sort and distribute incoming correspondence.
  • Calendar Management
  • Assist with logistics for managers.

  • Participate in organizational conversations to discuss safeguarding and social inclusion etc.
  • Safeguarding the rights of family partners and community members (especially women, people with disabilities and children) and promotes the implementation of Habitat for Humanity’s code of conduct.
  • Remain alert and responsive to any safeguarding risks, acquire relevant knowledge and skills to
  • Promote strong safeguarding practices, understand the safeguarding policy and procedures, and conduct in a manner consistent with the Safeguarding Policy.

About You

Minimum Requirements:

  • Education: Degree in Human Resource, Management, Business Management

Years of Related Experience:

  • 3 years’ experience in Human Resource set up.
