Job Description

Job Purpose:

The Fleet Maintenance Team Lead is responsible for ensuring the optimal operational condition, safety, and cost-effectiveness of the company’s vehicle fleet. This role focuses on executing high-quality maintenance and repairs, conducting thorough inspections, and providing expert technical advice to reduce vehicle downtime and maintenance costs. The Fleet Maintenance Team Lead plays a critical role in implementing preventive maintenance strategies and supporting the overall efficiency of fleet operations.

General Duties:

  • Perform in-house maintenance, services, and diagnostics to ensure vehicle reliability and safety.
  • Conduct pre- and post-garage inspections and maintain detailed vehicle history files.
  • Manage and audit in-house garage tools, supplies, and spare parts inventory.
  • Prepare Bills of Materials (BOMs), performance reports, and cost-saving proposals.

Specific Duties and Responsibilities:

  • Perform pre- and post-garage inspections with comprehensive photo documentation.
  • Conduct in-house 5,000 km services, including oil changes, filter replacements, coolant, brake pads, bulbs, tires, fluids, and system diagnostics.
  • Manage in-house garage tools and supplies, maintaining a clear audit trail.
  • Maintain accurate and up-to-date vehicle history files for each fleet vehicle.
  • Prepare Bills of Materials (BOMs) for maintenance and repair work.
  • Collect replaced parts and follow the Goods Received Note (GRN) process for verification and proof.
  • Prepare and submit vehicle performance reports separately from the Fleet Team Lead.
  • Follow up in-person with garages to minimize vehicle downtime and ensure quality work.
  • Advise management on vehicle and generator technical issues and propose cost-saving strategies.
  • Work closely with the Sourcing Team and PIM on the procurement of spare parts, garage selection, and spare part replacement reconciliation.
  • Initiate and implement fleet maintenance improvement proposals to enhance efficiency, safety, and cost-effectiveness.
  • Oversee vehicle maintenance schedules and coordinate with garages to ensure timely servicing and repairs.
  • Manage maintenance reports and ensure prompt processing of payments related to service and repairs.
  • Ensure damaged vehicles are promptly reported, assessed, and repaired either through insurance or internal means.
  • Performs other related duties as required or directed.

About You

Requirements

  1. Bachelor’s degree or Diploma in Automotive Technology, Mechanical Engineering, or a related field.
  2. Minimum of 3-5 years for BA holders and above 5 years for Diploma of proven experience in vehicle maintenance and repair, preferably in a fleet environment.

  • Strong technical and diagnostic skills across various vehicle systems.
  • Excellent organizational and record-keeping abilities with high attention to detail.
  • Effective communication and collaboration skills to work with internal teams and external vendors.

Organizational Alignment:

  • Reports to the Admin Manager.
  • Works closely and collaboratively with the Fleet Operations Team, Sourcing, Finance, and other cross-functional departments.
