Finance Assistant -(Maternity Cover)

Location: Addis Ababa, Ethiopia

Organization: Financial Services Deepening (FSD) Ethiopia

Job Description

FSD Ethiopia is an international development agency that aims to support the development of accessible, inclusive, and sustainable financial markets for economic growth. FSD Ethiopia was officially established in May 2022 with the aim of identifying the underlying causes of financial system failures, facilitating market actors to address these constraints, and helping build a functional and effective financial sector that generates economic gain for Ethiopians. FSD Ethiopia was established with funding from FCDO and the Gates Foundation to strengthen the country’s financial sector.

Major Duties and Responsibilities:

1. Financial Operations

  • Assist in processing payments, including vendor invoices, staff claims, and advances, ensuring complete documentation and required approvals.
  • Support the maintenance of the Central Invoice Register and payment tracking systems.
  • Prepare payment vouchers and ensure proper filing of supporting documents.
  • Assist with petty cash management, including reconciliation and documentation.
  • Support bank and cash reconciliations under supervision.

2. Documentation and Record Keeping

  • Maintain organized and complete financial files both in hard copies as well as in soft copies at One Drive and Share Point.
  • Ensure all financial documents are properly labeled, archived, and easily retrievable for audits and reviews.
  • Stamp paid invoices and ensure proper filing in designated folders.

3. Procurement and Asset Support

  • Assist in verifying procurement documentation for completeness and compliance with FSDE policies.
  • Support fixed asset recording and physical verification exercises.
  • Help maintain the asset register and inventory records and ensure they are always UpToDate.

4. Payroll and Staff Support

  • Assist with payroll preparation by ensuring payroll notification report are signed and received from FSDE HR department, timesheets are complete, and all the supporting documents are presented for finance.
  • Support processing of staff advances and retirements.

5. Compliance and Internal Controls

  • Ensure transactions comply with organizational policies and donor requirements.
  • Support implementation of internal controls, including maker checker procedures and in alignment with the approved authority matrix.
  • Flag any inconsistencies, missing documentation, or potential duplicate payments to the supervisor.

6. Reporting and Audit Support

  • Assist in preparation of financial reports and schedules as required.
  • Support internal and external audits by providing requested documentation and explanations.

7. Others:

  • Assist in the annual external audit through providing of requested financial documents and other logistic supports.
  • Participates in the preparation of the work plan of the section
  • Performs other duties as assigned by the immediate supervisor

a) Education

  • BA/MA in accounting or equivalent combination of education and work experience.

b) Experience

  • 4/2 years job related experience in. NGO experience is desired.

c) Technical Skills Required:

  • Good organizational and filing skills
  • Strong attention to detail and accuracy
  • Ability to meet deadlines and manage multiple tasks
  • Integrity and confidentiality
  • Good communication and teamwork skills
  • Willingness to learn and follow procedures
