Job Description
Purpose
The Documentation and Inventory Officer is responsible for handling the receipt, storage, issuance, and documentation of materials, consumables, and fixed assets in the central store of the Authority in accordance with the Property Administration Manual. The position ensures accurate records, proper storage conditions, stock control, and timely reporting.
Specific Duties and Responsibilities:
- Check and receive goods against purchase orders, suppliers’ invoices, and packing lists; verify quantity, quality, and condition of items.
- Issue materials, consumables, and fixed assets to requesting departments based on duly authorized Store Requisition forms.
- Safely store and safeguard all materials, spare parts, consumables, and fixed assets under custody.
- Ensure store security against damage, theft, deterioration, fire, moisture, and other hazards; maintain cleanliness and order of the store.
- Prepare and process store and asset documents such as GRN, FARN, RMRN, SIV, FAIV, and RMTN, and submit them timely for financial recording.
- Maintain and regularly update bin cards and stock records in line with stock movements.
- Properly file all store-related documents, including receiving vouchers, issue vouchers, and delivery notes.
- Label, classify, and arrange materials on shelves and racks according to item type and category.
- Assist in setting and monitoring maximum and minimum stock levels.
- Conduct periodic stock checks and assist in year-end stock and fixed asset inventory counts.
- Prepare and submit periodic store reports.
- Perform other related duties assigned by the immediate supervisor.
Qualification and Requirements:
Diploma / Level IV in Accounting, Business Administration, Logistics, Supply Chain Management, or related fields.
- Minimum of 2 years relevant experience in storekeeping, logistics, or supply chain management.
