Standard Job Description
Assistant Reporting Officer Organizational Setting and Work Relationships General guidance and support are received from the External Relations Officer. Guidance may also be given by the various specialised units in the office.
Within UNHCR: Close contacts with sections to gather and analyse information. With EXTERNAL Parties: implementing partners and UN agencies to gather analyse and disseminate information about UNHCR activity information. Impact of Work: Accurate and well-presented information will promote UNHCR action for refugees, contribute to good decision making, and help for fund raising. Errors can lead to inappropriate action, and impact negatively on UNHCR’s image and affect funding raising efforts.

Duties
– Keep abreast with developments in the area of responsibility to prepare appropriate briefings and reports.
– Assist in collecting and drafting the required information for the production and dissemination of regular updates for internal and/or external distribution.
– Assist in organising donor briefings and the coordination of inter-agency meetings.
– Assist in maintaining working relationships with the Government, NGOs, and UN agencies.
– Draft and disseminate minutes of the meetings that are held periodically in the duty station.
– Accompany visitors and colleagues on monitoring missions to refugee sites giving appropriate briefing, commentaries and prepare briefing material for visitors.
– Draft updates, donor reports, background notes, briefing notes, press reports, etc. – Produce reports on UNHCR activities.
– Liaise with external partners on behalf of UNHCR.
– Perform other related duties as required.

Key skills and competencies: The successful candidate should have a solid experience in external engagement and donor relations. S/he should possess excellent communication skills, both orally and in writing, and experience in dealing with partners diplomatically.
A demonstrated capacity to work closely with diverse teams and to work collaboratively would also essential. Familiarity with fundraising and the programmatic requirements of some of UNHCR’s donors would be an asset, including of pooled funds. The incumbent is expected to be a forward-thinker and solutions-oriented.

Nature of Position:
The needs of refugees and IDPs are significantly underfunded in Ethiopia at only 53% in 2022. Funding gaps deeply impacts the provision of live saving interventions, including in the areas of protection, shelter, health, WASH, education, as well as in urban settings.
Based in Addis Ababa, under the direct supervision of the External Relations Officer, and in close coordination with the Senior External Relations Officer, the Assistant Reporting Officer has a key role in supporting donor engagement efforts. S/he maintains a close dialogue with government and other partners, identifies additional funding opportunities, leads the preparations of project proposals, including for pooled funds, facilitates donor missions to the field and ensures that donor requirements are met.
Living and Working Conditions:
A family duty station, the medical facilities are moderately available with the main services being offered at the UN operated clinic which is available to all staff members and their dependents. Transportation outside the country is readily available as major airlines operate from Addis Ababa. There are schools to accommodate international students. Hotels are of international standards with recreational facilities available within the city.
