Job Description

Job Summary

The Admin and Finance Assistant is responsible for providing administrative, financial, and logistical support to ensure effective and efficient operations of the organization/project. The position ensures proper financial documentation, compliance with policies and procedures, and smooth administrative services to staff, partners, and Donors

Specific Roles and Responsibilities

  • Assist in preparing payment vouchers, receipts, and other financial documents.
  • Support in maintaining accurate and up-to-date financial records and filing systems.
  • Assist in preparing monthly bank reconciliations and petty cash management.
  • Collect, review, and verify invoices, expense reports, and supporting documents before processing payments.
  • Support in preparation of monthly, quarterly, and annual financial reports.
  • Ensure compliance with donor, government, and organizational financial regulations.
  • Provide logistical support for meetings, workshops, and trainings (booking venues, refreshments, materials, etc.).
  • Maintain proper records of office assets, inventories, and supplies.
  • Assist in procurement processes by collecting quotations and preparing purchase requests
  • Perform other relevant tasks assigned by the immediate supervisor or the management of the organization

About You

Educational Qualifications and Experience

  • BA degree in Accounting, Finance, Management, Business Administration, or related field.
  • Minimum of 1–2 years of relevant experience in administration and finance (preferably in NGO/CSO).
  • Basic knowledge of accounting software (e.g., Peachtree, QuickBooks, or others) is an advantage.
