01. Admin Assistant
- Location: Addis Ababa, Ethiopia
POSITION: Admin Assistant
REPORTS TO: – Facilities & Project Support Director
MONTHLY GROSS SALARY- ETB 109,000 with other benefit packages
Job Summary
The role involves providing administrative, organizational, and logistical support, coordinating projects, assisting with training, managing communications, handling procurement follow-ups, and maintaining records. The position also includes liaising with staff, parents, and service providers, and occasionally covering for other managers when absent.
DUTIES AND RESPONSIBILITIES
- Provide assistance to parents, visitors, employees and students at the school who come to the Facilities and Maintenance Director’s office,
- Follow up and regularly update project status on the project google sites and follow up sheets, help to coordinate and manage project tasks and deliverables,
- Record and update building & ground, Capital FIPs, and housing budget line,
- Work with the Facilities & Project Support Director in planning, organizing & facilitating training sessions for ICS outsourced staff members so that they meet ICS standards & protocols.
- Work with the Facilities & Project Support Director in coordinating training sessions and in assisting with Job Rotation plans for the Facilities & Maintenance department staff members,
- Communicate with Direct Reports upon direction of the Facility and Maintenance Director and/or their team members to set appointments and follow-up meetings,
- Compose letters & Memoranda as requested and document and update the facilities and maintenance work section operational manuals, reports, and other work files both in hard copy and on shared folders,
- Assist in preparing and following up foreign and local purchase orders of the work units, and assist in following them up till delivered to the right work section,
- Assist and follow up with facilities and maintenance team and operation manager to support raised housing issues are addressed by the owner to the tenants’ satisfaction level,
- Assist Facilities & Projects support Director to prepare a work/project plan and report,
- Follow up with an outside service provider of the critical assets like elevators and generators to ensure that they provide the service as per the agreement,
- Regularly update housing data on google site by working with the Operations Manager,
- Assist Facilities & Projects support Director to ensure planned preventive maintenance of equipment and facilities are done as per the work schedule,
- Work with property and material management section to follow up and update the stock items of the work unit is added, ordered, and replenished regularly,
- Follow up with the Facilities and Maintenance team to ensure annual performance evaluation is conducted and submitted to the HR office,
- Work on behalf of the Operation Manager when the Operation Manager is absent also work on behalf of the MHD coordinator when the MHD coordinator is absent,
- Assist Facilities and Maintenance department as needed
About You
Qualifications:
- Bachelor’s degree in Secretarial Science, Office Management, or Social Science.
- Preferred experience and skill: project management and/or facilities management
- Minimum of 5 years of relevant experience.

02. IT Maintenance Technician
REPORTS TO: – Manager of IT Operations & Systems Development
REQUIRED NUMBER: 1
LOCATION: Addis Ababa
MONTHLY SALARY: As per ICS salary scale
Job Purpose
The IT Maintenance Technician will work closely with the Sr. IT Technician and will be responsible for installation and maintenance of IT equipment, cabling and accessories. The job requires safe physical exertion, including but not limited to climbing up high places and opening manholes. The job may also require overtime, as some projects will be done after hours.
Common It Responsibilities
- Receive basic IT device training from qualified team members
- Follows policies and procedures of the IT Tech Team.
- Providing excellent customer service and technical support for the ICS Community.
- Resolve help desk service calls using documented procedures for first level technical support. As part of the IT Help Desk, is assigned as a Tier 1 support to resolve tickets within agreed Service Level Agreements. This may include technical setups during school events, both during school hours and outside school hours.
- Works daily in conjunction with the IT Help Desk Coordinator. Is a substitute for the IT Help Desk Coordinator/Sr. IT Help Desk Coordinator when that person is unavailable.
- Establishes a good working relationship with fellow team members that encourages teamwork and team support.
Duties And Essential Job Functions
- Install and maintain IT equipment including but not limited to: CCTV System, VoIP Phones, PA System, Card readers and controllers, Electric fence controllers etc.
- Monitor and report on electrical power supply. Coordinate with the ICS Maintenance team on troubleshooting issues or scheduling deployment and maintenance of equipment when appropriate.
- Monitor and maintain server rooms (cooling, electrical, water resistance).
- Lay network cables and fully commission the physical installation of cables: terminating, testing, and documenting the installation.
- Coordinate and schedule maintenance of ICS’s Internet and phone lines with Service Providers both on and off-campus.
- Install and maintain UPSs in the Data Centers and offices. Periodically check UPS health: battery, line-in and line-out voltages for trouble-free operation
- Physical Printer installation and maintenance. Schedule maintenance of ICS printers for trouble-free operation by users.
- Act as one of the primary team members for IT setups for events and school activities
- Monitor climate controls in the Data Centers. Schedule AC maintenance with the ICS Maintenance team.
- Order supplies, tools, equipment and spare parts necessary for performing the job.
- The IT Technician will respond to assigned trouble tickets as appropriate.
- Other duties as assigned within the technical support team
About You
Qualifications:
- Certified Electrician; Must have 3 or more years of on-the-job experience.
Preferred Skill:
- Experience pulling fiber cables
