Job Description
Position Title: Finance and Admin Officer (Maternity Cover)
Reporting to: Finance and Admin Manager
Employment Type: Four(4) Months Fixed Term Contract for Maternity Cover
Position Overview:
Overall, the position is designed to be a reliable partner to the FAM, ensuring that Finance and Administration functions serve the strategic goals of HWs-ET.
Key Responsibilities:
- Maintain accurate accounting records, including cashbooks, ledgers, and vouchers.
- Process payments, staff reimbursements, and supplier invoices in compliance with HW policies.
- Assist in budget preparation, budget tracking, and variance reporting.
- Prepare monthly reconciliations (banks, advances, payables/receivables).
- Support preparation of donor financial reports and internal management reports.
- Ensure financial documents are properly filed, archived, and easily retrievable.
- Support month-end financial closing activities, including preparation of schedules and supporting documentation. Provide financial insights and analysis to support the FAM in decision-making.
- Monitor outstanding advances, payables, receivables, and other financial balances and follow up with relevant staff to ensure timely clearance and settlement.
- Perform other finance-related duties assigned by the Finance and Administration Manager (FAM) in support of effective financial management and organizational operations.
Administration Support (30%)
- Manage office supplies, utilities, and administrative documentation.
- Ensure and monitor that the office is clean and tidy for the employees.
- Ensure proper record-keeping for contracts, agreements, and other administrative files.
- Support travel arrangements, workshops, and meetings by handling logistics (venues, bookings, documentation).
- Provide general administrative support to program and management teams.
- Identify areas to strengthen administrative systems and propose improvements to the FAM.

Requirements
Required Qualifications & Experience:
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
- 2-4 years of experience in finance and administration, preferably in NGOs, INGOs, or donor-funded projects.
- Basic knowledge of HR management practices is an advantage.
- Quickbooks application is mandatory and accounting standards (IPSAS) is desirable
- Proficiency in MS Office (Excel, Word).
- Strong attention to detail and accuracy in financial transactions.
- Good organizational and multitasking skills.
- Good communication and interpersonal skills.
- Ability to provide strategic support and contribute to system improvements.
- Ability to maintain confidentiality and handle sensitive HR information with integrity.
- Team player with a proactive and solution-oriented mindset.
