Job Description

BACKGROUND:

The International Rescue Committee, one of the world’s largest humanitarian international NGOs, provides relief, rehabilitation, and development support to vulnerable people and communities over 30 countries. We began work in Ethiopia in 2000 in response to severe drought in Ethiopia’s Somali region and are currently providing assistance to Ethiopians and refugees in six regions in Ethiopia, implementing emergency and development programs in health, water and sanitation, economic recovery and development (ERD), women’s protection and empowerment, education, child protection, and multi-sectoral emergency response.

Job Overview:  

Under the supervision of SC Officer, the Supply chain assistance is responsible to provide support and assistant to the Shedder IRC staff and programs in matters related to logistics and procurement. The duties of the SC assistance are many as summarized below:

Major Responsibilities:

·  Assisting the program and other staff in raising PRs and provide them with estimated prices as required.

·    Working on the open PRs and give the priority to the urgent ones, and make sure that the items requested are delivered to the requester(s).

·     Collecting bids, preparing bid analysis, POs, Delivery Reports and making Payment Requests.

·     Coordinate with Finance Department to make sure the payments delivered to the suppliers.

·     Providing support and training to logistics new staff in matters related to Logistics and procurement as required.

·     Responsible and make sure that Generators are functioning well and keeping them in good condition.

·     Supervise the drivers and update schedule of vehicle movements.

·     All procurement requests are processed in timely and transparent way.

·     Assists staff  as needed on creating clear and understandable purchase requests and other documentation;

·     Collects quotations and bids from the market for PR-s as assigned by managers

·      Assist in managing all Shedder Camp need under Sheder office

·      Prepare the required documentation of supplies and transactions are completed to IRC standards.

·      Preparation of status reports on deliveries for P&L and office Management and recipient of supplies. Assist in the maintenance of thorough procurement files as outlined in the IRC’s procurement policy;

·      General management of  vehicles in co-operation with the transporter officer in Jig-jiga

·      Ensure that all vehicles are safe and road-worthy.

·      Afford well-timed and exact vehicle log report and make sure the mechanisms by which drivers are responsible for the vehicle which they are given accountability to drive cautiously and preserve the vehicle condition in good set

·      Ensure that all vehicles have proper on-board vehicle documentation.

·      Maintain administrative vehicle files for each vehicle.

·      Continuous tracking of vehicle log-sheets; responsible for monthly compilation and submission of log-sheets.

·      Monthly updating of vehicle allocation and consumable reports.

·      Scheduling and management of drivers.

·      Supervise ,update job description and give on job trainings  for supply chain staff under your supervision including store keeper, drivers and guards

·     Manage overall activities of your department and follow up things a head to run the program smoothly

·     Other duties as assigned

Job Requirements

Requirements:

Apply basic to intermediate knowledge of procedures and systems to perform the requirements of the job; skills and knowledge typically acquired through a combination of job related training, some on-the-job experience and some formal education.

Educational Requirements:

  • Degree graduate in Business Administration
  • SC & Logistics, procurement, Management & Related Fields

Preferred experience & skills:

  • 2 years of relevant work experience for diploma holders
  • 1 year relevant work experience for first degree.
  • NGO experience is a plus.
  • Somali Language is advantageous
