TEAM PURPOSE:

The Business Development team leads and supports the country programme in new business development and existing donor contract management through planning, coordinating, securing and managing restricted/institutional income.

JOB PURPOSE:

This is an exciting role within the Business Development Team of Oxfam in Ethiopia. The prime responsibilities of this position are to support in donor contract management, including ensure adherence to Oxfam and donor compliance; donor reporting, income management; management and oversite of Oxfam’s grants management systems and maintaining documentation as per Oxfam’s systems and procedures. The role also goes beyond on contract management and will support the entire business development functions with pre-award tasks including donor mapping, support in the development of CNs, different sections of project proposals and undertake donor communication as per assigned opportunities.

Key Responsibilities and Accountabilities

Contract Management:

  • During the Bid/no-bid stage, crease a relevant project on Oxfam’s Grants Management system (CRIMSON) reflecting the scope of the opportunity
  • Ensure that the final copies of the proposal and any other relevant documents are updated in CRIMSON. Keep track of all changes in the proposal, budget and other documents during subsequent modification of the grants.
  • Upon receiving confirmation from the donor of an award, take lead in reviewing the donor agreement, ensure that relevant functions (country, region, HQ as needed) are engaged in the agreement review side before finalizing/initiate signature
  • Actively support the Grants Coordination and other colleagues as necessary in grants kick-off as well as regular review and closure stage
  • Ensure adherence to post aware compliance including donor reporting, asset management, compliance and any other requirements as stipulated in the donor agreements
  • Ensure that program and finance team have access to relevant donor templates for producing donor reports. Communicate the donor reporting schedules well in advance to program and finance team
  • Ensure pro-active and professional communication with donors as well as Oxfam affiliates for all matters regarding post award requirements
  • Supporting the Program and Ops team (finance, logistics, human resources, etc.) teams (Addis and field based) on day-to-day request related to donors and contract management.
  • Travel to the field sites as needed to support program monitoring/contract management.

Business Development:

  • Support the Business Development Team in mapping donors as part of the development-review and updating the Country fundraising Strategy. Undertake detailed review of donor funding strategies, plans for Ethiopia as necessary.
  • Take part in the bid-no-bid meetings, draft the Bid Analysis and communicate the decision with respective teams (country, region, HQ as relevant)
  • Conduct desk review of relevant needs, background, and support in drafting specific sections of the proposals and CNs.
  • Take part in relevant design meetings/workshops and lead appropriate session
  • Complete other administrative and technical annexes of proposal/CNs and support in finalizing the full package

Experience, Knowledge & Competencies

Essential

  • Minimum bachelor’s degree in a relevant field of social science from a recognized university.
  • Relevant experience of 3+ years and proven success in grants management and donor compliance of which two years of experience preferably in an international NGO
  • Excellent analytical and problem-solving capacities – ability to identify issues with contractual implications, ensure consistent donor reporting and support teams in providing appropriate analyses of activities.
  • High adaptability – ability to work with large range of actors including institutional donors and partners and to develop understanding of various contexts.
  • Advanced interpersonal skills and good pedagogy – ability to support staffs in ensuring compliance with donor requirements; carry out staff/partners training and to ensure high communication sharing/gathering on project implementation.
  • Proven excellent writing skills – experience/training in reports writing.
  • Good proficiency in Microsoft Office – significant experience with Word, Excel, PowerPoint, etc.
