Position Overview

Are you an experienced administrative professional looking to contribute to dynamic organizational governance in Africa? The African Union Commission is seeking a qualified, proactive Secretary (OIO) to provide essential executive support, clerical coordination, and administrative assistance to the Office of Internal Oversight in Addis Ababa, Ethiopia.

Key Responsibilities

  • Administrative Support: Provide daily operational support, draft responses to routine correspondence, and manage incoming and outgoing communications.
  • Meeting & Calendar Management: Maintain executive appointment schedules and organize departmental, senior management, IAPC, and PRC Sub-Committee meetings.
  • Document & Report Processing: Type, proofread, and finalize reports, official correspondence, and audit documents with speed and accuracy.
  • Filing & Information Systems: Create, maintain, and optimize digital and physical record-keeping and retrieval systems.
  • Logistics & Travel Coordination: Arrange official mission travel, process travel claims for audit staff, and follow up on logistical requirements.
  • Stakeholder & Reception Support: Greet guests, handle telephone/email inquiries, and liaise effectively with internal and external stakeholders.

Qualifications & Requirements

  • Education:
    • Diploma in Administrative Services, Office Management, Secretarial Studies, or a related field with 3+ years of relevant experience; OR
    • Bachelor’s Degree in Administrative Services, Office Management, Secretarial Studies, or a related field with 2+ years of relevant experience.
  • Technical Skills:
    • Typing speed of at least 50 words per minute (WPM).
    • Strong computer literacy, including MS Word, Excel, PowerPoint, email applications, and internet research.
  • Language Requirements:
    • Proficiency in one of the AU official working languages (Arabic, English, French, Kiswahili, Portuguese, or Spanish). Fluency in a second AU language is an added advantage.

Remuneration & Benefits

  • Internationally Recruited Staff: Annual lump-sum of US$ 45,253.23 (GSA4 Step 5), inclusive of all allowances.
  • Locally Recruited Staff: Annual lump-sum of US$ 17,122.71, inclusive of all allowances.
  • Contract Tenure: Initial 11-month ALD contract, renewable twice subject to performance and deliverable achievements.
