Job Description

The Ethiopian Medical Association (EMA) is one of the pioneering professional Associations in Ethiopia. The Association was formally established on July 2, 1962 G.C with 100 founding members. EMA is a member of the World Medical Association since 1994 G.C and currently has more than 3500 registered members.

EMA’s head office is based in Addis Ababa and has a presence in five regions represented by its nine regional branch offices (Gonder, Mekelle, Bahir Dar, Dessie, Jimma, Adama, Harere, Hawassa and Arba Minch). EMA has been operational for over 59 years on promoting quality of medical service in Ethiopia and evidence-based medicine through publishing the Ethiopian Medical Journal (EMJ). The mission of the association is to: Ensure that the community gets quality health service and care; promote the highest standards in medical education, science, art and practice and ensure the rights and benefits of medical professionals (doctors) and act as their voice

Thus, the association wouldDuties and Responsibilities

  • Work as lines between EMA head office, RHB, ZHD, WoHO and HFs
  • Manage COVID 19 vaccine logistics including cold chain properly
  • Ensure the availability of COVID 19 vaccine in all respective HFs
  • Coordinate workshops, trainings for Woreda level focal and HF staffs
  • Monitor the day-to-day activities at HF level
  • Collect Health facility level data in daily base as per the established platform
  • Closely work with assigned finance officer regarding facilitation of perdium or transportation payments for trainees, trainers
  • Collect Performa for hotel refreshment package service and submit to finance officer for quoted price analysis
  • Gather necessary information such as hotel service providers, trainees, trainers, organizers bank account details at each health facility or regional training centers
  • Regularly submit all prepared supporting documents for payment facilitation through bank
  • Monitor, analyze and design corrective action on the day-to-day activities
  • Organize and submit weekly, bi-weekly and monthly base M & E report as per the EMA/RTSL reporting template
  • Timely distribute and ensure utilization of job aids including Key messages, and communication tool kits by HCWs
  • Take a lead in all project disbursements and expenditures in accordance with financial request to Head office and in accordance with EMA/RTSL regulations.
  • Provide technical advice and capacity to the regional health bureau, zonal health department and woreda health office team for the implementation, monitoring and evaluation of activities.
  •  Ensure that all project meetings, training, travels, field visits and other project activities are in accordance with the EMA/RTSL mandate with regard to protocol established on COVID-19 or similar pandemic situations as well as local COVID 19 guidelines
  • Carry out project activities in a timely and quality manner in accordance with EMA and RTSL standards and requirements and in collaboration with the Government bodies (MOH, RHB, ZHD, SCHO, WoHO, and HFs) responsible for implementation at HF level.
  • Prepare all narrative reports and review financial reports in accordance with EMA and RTSL requirements

Monitoring, evaluation and reporting

  • Conduct regular monitoring activities as per timeline, compile required information in a report and provide feedback and recommendation as per monitoring result and update the detailed work plan as per the monitoring result.
  •  Provide the Head office (HO) level Project coordinator with regular updates, and financial reports as well as troubleshoot problems as required.
  • Prepare and submit a Progress Report of the project to the HO level Project coordinator.
  • Prepare and submit an End-of-Contract report to the HO level Project coordinator and Program manager.
  • Management of project reporting through the preparation and timely submission of the various required reports, i.e., daily, weekly, monthly and quarterly reports, as per the donor and EMA requirement.
  • Perform other duties assigned to him /her by the immediate supervisor.

Duration: short term contract (3-6) months

Job Requirements

Education and Qualification

  • MPH with minimum 5 years of experience of which 3 years in project coordination
  • BSc in Public Health with a minimum of 7 years of which 4 years as project coordinator.
  • MPH with minimum 5 years of experience of which 3 years in project coordination
  • Prove experience in COVID 19 pandemic prevention.
  • Having experience in managing different projects.
  • Desired Criteria (An Asset)
  • Experience in International, local NGO & professional association’s environment is advantageous

  • Ability to work independently

Required Skills & Abilities:       

  • Strong verbal and written communications skills
  • Strong MS office and the ability to use new technology
  • Knowledge of records management( both manual and computerized systems)
  • Ability to meet deadlines according to the established timetable
  • Team spirit and coordination

Language

  • Fluency in spoken and written English and Amharic.
