Purpose of the Job:
To enhance customer experience by managing the commission’s front desk, administrative and clerical tasks daily.
Main Duties and Responsibilities:
- Greet and welcome guests as soon as they arrive at the office;
- Direct visitors to the appropriate person and office;
- Answer, screen, and forward incoming phone calls;
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures);
- Provide basic and accurate information in-person and via phone/email;
- Receive, sort and date stamp incoming mails and transfer to the records and archives officers or relevant departments;
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges);
- Order front office supplies and keep inventory of stock;
- Manage flight booking and prepare the necessary documentations for payment;
- Ensure travel related information is communicated to the travellers on time;
- Performs other related duties as assigned by supervisor.
About You
- BA degree in Secretarial Science & Office Management or related fields; or Diploma/ Level IV Certificate in Secretarial Science & Office Management or related fields
- 2 years of relevant experience with BA degree, and 4 years of relevant experience for Diploma (Level IV Certificate).
- Prior experience working as Reception to reputable organizations is a plus
- Computer literate.
- Excellent communication and organization skills.
- Knowledge of Amharic and English is required. Knowledge of other local languages is advantageous
