Job Description

MISSION AND MAIN ACTIVITIES

Planning and supervising the execution of the Warehouse and Stock Management activities in the project according to ALIMA protocols and standards in order to ensure the optimal functioning of the pharmacy.

MAIN ACTIVITIES

Planning and supervising on a day-to-day basis the Warehouse and Stock Management activities in the project, ensuring compliance of ALIMA standards, protocols and procedures.

These activities include but are not limited to the following:  

1. Order and Supply Management

  • Supervise material orders and dispatching in order to ensure rational use.
  • Receive orders and deliveries, identifying potential disparities against cargo manifest or others and reporting them, and stores materials in accordance with the system in force, in order to ensure continuous availability. It includes:
  • Check that the number of cartons and their contents correspond to the transport documents.
  • Ensure correct fill in entries on the stock cards and software
  • Informs his manager and notifies any anomalies immediately
  • Prepare orders of the different consumption units (departments, wards, other), ensuring the packaging and proper dispatching. reporting any anomalies or changes in consumption patterns to the Pharmacy manager. Also inform the medical team as soon as stock reaches alert limit
  • Carry out or participate in regular inventories including EPREP stock.
  • Report missing material/ damage/ robbery.
  • Ensures that the orders of the consumption units (services, emergency trunk, etc.) have been validated by the supervisor concerned.
  • Prepares and packages the medicines of each service, makes the delivery of the services according to a defined calendar with signature of the documents
  • Archive each document in the corresponding binders (pro-formats orders, packing lists, etc.)
  • Control warehouse limited access to authorized personnel and ensure doors and other exists are secured.
  • Ensures good storage conditions of all items in the pharmacy.
  • Control warehouse facilities in order to ensure materials good keeping conditions. It includes:
  • Monitor temperature in the warehouse and ensure that products requiring cold chain are suitably stored and transports received and prepared appropriately ac-cording to ALIMA Supply and Cold Chain protocols
  • Maintain refrigerating equipment in close collaboration with the logistics department.
  • Follows up stock levels with regards to alarms thresholds, stock out, expiry dates and drugs to expire in the following 6 months. Make a report and passes it to the supervisor

 2. Management of the pharmacy

  • Ensures the good performance of inventory sheets by including all the necessary information according to the procedure put in place with the pharmacy manager.
  • Participate in the regular inventory with the pharmacy manager.
  • Is responsible for each exit that must be done with the agreement of pharmacy manager

3. Organization, cleanliness and security of the stock

  • Ensures storage and cleanliness of the stock.
  • Is responsible for the good condition of the stock (physical place) and shelves, and if necessary, refers the problems to its manager.
  • Remains physically present in the pharmacy, especially when there is someone inside (except pharmacy manager).
  • Controls access to the pharmacy room and ensures the proper closing of doors and other exits.
  • Report any disappearances or traces of violation as soon as possible.

Implementation of prevention measures against abuse of power, gender-based and sexual violence:

  • Participates in training and awareness sessions
  • Implements abuse prevention standards
  • Ensures that team members complete training and awareness sessions and implement abuse prevention standards
  • Helps create and maintain a nurturing and protective environment.

Job Requirements

EXPERIENCE AND SKILLS

Training / Education:

  • Diploma or Bachelor Degree in purchasing and supplies management, Logistics Management or related field from an accredited college or university.

Experiences:

  • 2+ years of experience as a storekeeper.
  • Punctual, self-disciplined, loyal & trustworthy always
  • Excellent computer skills required with proficiency in Windows, Word, Excel spreadsheets, PowerPoint and other related software’s.

Skills:

  • Ability to multitask, prioritize and possess strong time-management skills.
  • Ability to communicate with members of the organization at all levels
  • Ability to work independently and quickly take up a position
  • Analytical skills and critical thinking

Languages:

  • English Speaking, reading and writing, mandatory.
  • Knowledge of a local language (Somali and Oromo) is an asset
