Job Description

Job Summary

The Project Coordinator is responsible to prepare the plan of action and budget of the project, manage and implement project activities in accordance with the project document signed between the Government of Ethiopia and FH Ethiopia (FH/E). He/She is also responsible to create a smooth environment for a sound relationship with concerned government bodies and among FH/E staff at project level and prepares performance reports.

Duty Station:                            Estey and Guna Begemidir (Amhara)

Duration of Contract:              One year contract (60 working days of  probation period)

ESSENTIAL TASKS AND RESPONSIBILITIES

Key Result #1 – Staff and material management

  1. Gives overall guidance, manages and coaches to staffs under his/her supervision;
  2. Ensures that performance evaluation forms for the staff under his/her supervision  completed and submitted to the Area Program Manager  timely;
  3. Ensures that human resources, materials and commodities are adequately available and properly utilized;

Key Result #2 – Project Design, planning, implementation, reporting, monitoring, and evaluation

  1. Coordinate the preparation of project plans and ensures their timely submission to his/her supervisor  and other concerned body;
  2. Ensures that project activities are implemented in accordance with the project proposal signed between FH/E and the Government;
  3. Conduct situation analysis in the project areas and designs appropriate intervention plan in line with the vision of FH/Ethiopia;
  4. Ensure the preparation and submission of various periodic reports to the Area project manager   ;
  5. Monitors and evaluates project activities in collaboration with stakeholders, FH/E headquarter monitoring team and other concerned bodies;
  6. Ensure that project implementation status is regularly gauged against the indicators in the project proposal to identify gaps and suggest correction measures to the Area Program Manager
  7. Prepare quarterly procurement plans and get approval from the Area Program Manager.

Key Result #3 – Financial management

  1. Ensures that financial resources of the project are handled properly;
  2. Show a higher integrity in handling resources belonging to the organizations;
  3. Ensure that resource utilization is economical and efficient in the project;
  4. Prepares detail annual project budget in collaboration with concerned Area Program s staff;

Key Result #4 – Coordination and networking

  1. Maintain good relationships with stakeholders.
  2. Co-ordinates and creates team spirit among project staffs to maximize the achievements of the project
  3. Network the project with relevant NGOs and the private sector

Key Result #5 – Capacity Building

  1. Identify capacity gaps of FH and partner staffs and fill the gaps as deemed necessary with the view of enhancing the capacity of local FH staff and partners;
  2. Make sure that  staff under his supervision internalized the PIM and work in adherence to the rules, regulations and procedures set in it;

EXPERIENCE

⮚  4 years related experience out of which two years on managerial position preferably in NGO setting.

EDUCATION/CERTIFICATIONS

⮚Bachelor degree in  Rural Development, Agriculture, or Economics, Natural Resource management or other related fields;

DISTINGUISHING COMPETENCIES

⮚ Excellent interpersonal skills and a collaborative management style;

⮚ Strong networking and representation skills;

⮚ Sound character.

⮚ Computer Proficiency

 LANGUAGE

⮚Proficiency in both spoken and written English. Ability to write reports and business correspondence. Knowledge of local language of the intervention area is preferred.

Supervisory Responsibility

  • The position Supervises; NRME facilitator, infra facilitator, commodity distribution supervisor, commodity distributors, guards and cleaners,, . He/She is responsible to oversee the human, material, commodity and financial resources of the project.

 SAFETY AND SECURITY RESPONSIBILITIES

  • Encourages compliance of Safety and Security principles and policies of the organization by all staffs;
  • Visiting project  Offices and operational areas periodically to meet staff and making sure that all staff members are aware of the safety and security procedures;
  • Explains to staffs the reasoning behind the organization’s safety and security policies and procedures;
  • Organizing local training sessions, such as First Aid, Fire Safety, and Defensive Driving for staff members.  If possible, he/she should conduct briefing and training sessions himself/herself;
  • Ensures that safety and security objectives are added to performance reviews and evaluations of all staff members;

Encourages staffs to adopt safe and secure practices. Ensuring that updated personnel information related to safety (Record of Emergency Data) and security management are kept in Human Resources;.

GENDER RESPONSIBILITIES

  • adequate time to staff to participate in gender sensitivity workshops and related events.
  • Through observation, interviews, and spot-checks, ensure that the staff planning process is gender sensitive.
  • Build a better gender balance in staffing through affirmative action.
  • Observe if women staff are as involved as men in high-profile activities such as interaction with visitors and chairing meetings, and take corrective action if warranted.
  • Encourage female staff to participate in external networks (local and regional), as well as seminars and cross visits.
  • Facilitate open and regular discussions with staff about the work environment, policies, and values convenient to gender issues.
