Organization Background
Established in 1947, the Young Men’s Christian Association of Ethiopia (YMCA) is one of the oldest youth development organizations in Ethiopia. It is affiliated with the World Alliance of YMCAs and the African Alliance of YMCAs. The core objective of the organization is ensuring the wellbeing of the community and children in general and the youth population in particular through body, mind and spiritual development. YMCA Ethiopia is working in collaboration with governmental and non-governmental stakeholders in Addis Ababa and five (5) regions of the country: Amhara, Oromia, SNNPR, Tigray, and Sidama.
YMCA Ethiopia is seeking an experienced Project Coordinator to act as the central integrator for our donor-funded projects. This pivotal role is responsible for coordinating all project activities, ensuring seamless collaboration between the National Office and branch offices, and maintaining strict adherence to timelines and deliverables. The successful candidate will be the key driver in synthesizing information, managing reporting, and proactively resolving bottlenecks to ensure the project achieve its intended impact efficiently and effectively.
Key Duties & Responsibilities
- Serve as the main communication link between the National Office and all branch offices for day-to-day project operations.
- Monitor and update the master project work plan and activity timeline.
- Track the progress of all project activities and deliverables across branches.
- Collect, review, and consolidate narrative and progress reports from branches.
- Prepare and submit consolidated narrative and progress reports to donors and senior management and government bodies.
- Organize and document project meetings, including preparing agendas and minutes.
- Facilitate the procurement of goods and services at the national level in line with project and donor procedures.
- Maintain a centralized digital repository for all project documentation including work plans, narrative reports, contracts, M & E data & lessons learned).
- Identify implementation bottlenecks and coordinate with relevant staff to develop solutions.
- Systematically capture and share success stories, challenges, and best practices across branches to foster organizational learning and continuous improvement.
- Support the program team in organizing monitoring visits, trainings, and project events.
Qualifications and Experience
- Bachelor’s degree in Development Studies, Project Management, Social Sciences, or a related field.
- Minimum of 3 years of experience in project coordination/management within an NGO, preferably in a structure with field offices.
- Experience in women economic empowerment including women Self Help Group (SHG) structure management.
- Proficiency in MS Office (Word, Excel, PowerPoint) and experience with digital data collection and project management tools.
- Excellent organizational, communication, and interpersonal skills, with the ability to manage multiple stakeholders.
- Excellent command of Amharic and English, both written and spoken, for effective reporting and communication.
- Strong skills in developing and monitoring work plans, budgets, and narrative reports.
- Understanding of basic Monitoring & Evaluation (M&E) principles and reporting requirements.
