Project background

Realizing Aspiration of Youth in Ethiopia through Employment (RAYEE) is a five-year (Nov 2019 to October 2024 inclusive) youth employment creation project which is being implemented in Collaboration with Mastercard Foundation. The overall objective of the project is to secure dignified and fulfilling employment and improved livelihoods for 240,000 youth (of which 70% are women) in urban, peri-urban, and rural targeted areas of Ethiopia.

Purpose of the job

The Project Assistant is appointed to the RAYEE project to facilitate and provide administrative and financial support to the project. The assistant is based in the Arbaminch Cluster office and is part of the team.

The Project Assistant ensures that the relevant administrative processes are in place and are adhered to, which are necessary for a smooth implementation of project activities. The Project Assistant, therefore, plays a key role, in linking the project implementation team to the support services (HR, Finance, Procurement, Logistics).

Job Description

  • Link the cluster-level advisors to the support services
  • Maintain various project documents both in hard and soft copies (agreements, training manuals, MOUs, consultancy documents, etc)
  • Gathers relevant data and provides input to administrations
  • Facilitate procurement and other office facilities for the cluster team
  • Supports the cluster advisors in preparing and compiling all documentation required for payments mainly for star-up supports, workshops and trainings and other related payments.
  • Makes a follow-up to ensure that payments are made timely and correctly.

Qualifications

  • BA degree in business management and administration, management, Accounting, Secretarial science, and related fields .
  • One (1) to two (2) years of experience in general administration, management, procurement, financial management, preferably with an INGO, donor-funded program, in a similar capacity in a field position

Required Skill

  • Excellent computer skills and proficiency in excel, word, outlook, and access
  • Excellent communication skills both verbal and written
  • Knowledge of and experience in organizational effectiveness and administrative/operations and customer management implementing best practices.
  • Excellent interpersonal skills and a collaborative style.
  • A demonstrated commitment to high professional ethical standards and a diverse workplace
  • Ability to work under pressure, and prioritize workload according to the changing needs of the project
