Job Description

BACKGROUND

The Center for Innovative Drug Development and Therapeutic Trials for Africa (CDT-Africa) is looking for a qualified and enthusiastic Project Administrator with relevant qualifications and experience.

The Role of the Project Administrator

The main purpose of this role is to be responsible for the administration of CDT- Africa projects and supporting the work of the project staff as well as the center. The administrator will primarily be accountable the project coordinators and to the Center Administrator. The post holder will be responsible for a range of day-to-day administrative duties relevant to the projects.

He/She shall work closely with the specific project coordinators as well as the administration team of the center especially with the center administrative assistant to effectively implement his/her duties. Communications will be central to the post holder’s work, including the circulation of information on important project related activities.

The project administrator would have particular responsibility to the SPARK project (SuPporting African communities to increase the Resilience and mental health of Kids with developmental disorders and their caregivers). SPARK is a cluster randomized controlled trial of the WHO Caregiver Skills Training programme for children with developmental disorders.

Principal Responsibilities:

  • The day-to-day running of the Centre’s projects in liaison with the project coordinators, and providing administrative and logistical support.
  • Follow up the basic day-to-day financial administration of projects and events.
  • Assistance to the project coordinators in the preparation of reports and publications, including regular reports.
  • Committee servicing, including organization of meetings, taking minutes, circulating minutes/agendas/documents related to the specific projects.
  • Organization of project related events (meetings, seminars, workshops, conferences, exhibitions, film screenings etc.).
  • Making travel arrangements, booking rooms, meeting halls, booking and setting up audio-visual equipment, and organizing catering to the specific projects.
  • A degree of flexibility is needed to deliver all services effectively, and the post holder may be required to perform work not specifically referred to above.
  • Support the production of finance management reports of the projects.
  • Provision of some HR-related support around hiring related to the projects.
  • Additional tasks as directed by the team.

Terms and conditions

  • Salary: Negotiable depending on qualifications and experience.
  • Hours of Work: Are governed by the laws of Ethiopia. However, the nature of the work is such that it might require working overtime and weekends.
  • Holidays: Are governed by the rules of Addis Ababa University for project workers.
  • Length of Contract: This is a three year post subject to six monthly contract renewals.
  • Probationary Period and Notice Period: There is a three-month probationary period for this role. The notice period is one month.

Personal Specification: Essential Qualification and Experience

  • BA or MSc degree Health sciences or Business management or Project management or Social work or equivalent from a well-recognized university.
  • Applicants with other qualifications should have very good experience of working in related areas.
  • Experience in working or assisting with the management of projects and grants.
  • Strong administrative and organizational skills.
  • Strong computer literacy.
  • Discretion and a proven ability to handle confidential and sensitive information.

  • Good ability of working in team.
