Who we are

SOS Children’s Villages Ethiopia is an International Non-governmental organization and a member of SOS Children’s Villages International Federation. We started our humanitarian work in Ethiopia with the opening of our first Village in Mekelle, Northern part of Ethiopia in 1974. Since then, we have expanded our programs to different regions where there are significant needs for intervention and where we believe we can work in partnership with all relevant actors to bring sustainable positive outcomes for children’s and young people.

Today, we have grown significantly to meet the persistent challenges that confront Ethiopian children who have lost parental care and those that are at risk of losing their parental care. Working in close collaboration with international donors, local government and community based organizations across seven program locations; we aspire that every child grows up with love, respect and security.

We are looking for a Programme Assistant who is responsible for providing support (administrative and program) to the Deputy National Director on implementation of the programs.

Your role?

While working with us a Programmme Assistant you will be in charge of the following,

Programme Management Support

  • The Programme Assistant works with and provides support to the members of the Programme Team in the development and implementation of programmes. He/she will provide effective support and assistance to the DND and programme team to ensure smooth programme implementation in line with SOS Children’s Villages’ rules and regulations.
  • Provide programme and administrative support to the programme team in the preparation of various programme documents, such as work plans, budgets, reports and proposals on programme implementation arrangements.
  • Identify sources, and gather and compile data and information for the preparation of documents, guidelines, and other material as required
  • Help the DND in providing guidance to the National and programme offices on routine implementation of projects, tracking use of financial resourcesServe as the primary focal point and resource person for Youth focused, Disability and inclusion focused, Alternative childcare projects/programmes and related portfolios.

Youth Empowerment

  • Facilitates and coordinates needs-based supports (administrative and programmatic) for young people growing up in family Like Care in collaboration with programme locations and the young people themselves.
  • Coordinates youth empowerment and employment opportunities for young people growing up in family Like Care in collaboration with programme locations, portfolio managers, project coordinators and the young people themselves.
  • Partner with youth empowerment and employment focused organizations(such as Safe Light, Besingularity, DHL &DGF, Ubuntu Mind excellence, etc.) and facilitate programme planning, implementation, monitoring, evaluation and support for young people growing up in family Like Care.
  • Facilitate capacity building initiatives for youth care and development professionals on youth empowerment and employment.

Financial Management Support

  • Support the programme team in the financial management of projects
  • Organize, compile and process information from the donors as well as from the programme team, and keep track of the information through databases and e-filing.
  • Support the DND and programme team in the tracking of and reporting on mobilized resources.
  • Prepare and utilize budget for DND office

Administrative Support

  • Collect, document and share lessons learned and results of the implementation of projects and programmes activities
  • Provide periodic summary reports to the Deputy National Director by collecting inputs from portfolio managers, location Programme Directors and others on overall progress of programme implementation.
  • Contributes to knowledge networks and communities of practice.
  • Facilitate leave management and other support services for Staff under the direct supervision of the DND.
  • Provide administrative support to the DND and programme team in the organization of events, meetings and workshops, etc.
  • Make travel arrangements for DND and programme team and project staff, including preparation of travel requisitions and claims.
  • Draft non-substantive correspondence.
  • Maintain and organize up-to-date hard and electronic files for easy access and retrieval. Ensure safekeeping of confidential materials.
  • Create and maintain files of correspondence/documents and electronically received information, and ensure up-to- date filing. Maintain both hardcopies and electronic copies of the office records and reference files on various subjects.
  • Prepare presentation material/slides in Power-point for presentations for the meetings/workshops and keep all papers ready for meetings.
  • Ensure business operations and efforts are always favorable to the business objective
  • Carry out other administrative tasks as required to facilitate an efficient working environment

Collaboration and Partnership building

  • Identifies potential partner organizations for SOS CVE in the area of work where she/he will be responsible for effective implementation of interventions.
  • Identify and overcome barriers to Cooperation, Collaboration and integration under his/her portfolio
  • Cooperates with the National IPD Advisor, DND, Location Program Directors and Managers in building strong links and cooperation with national government and local authorities, as well as other stakeholders to enhance programme implementation.
  • Joins relevant networks, forums, platforms, campaigns, working groups and advocates on behalf of the organization for the promotion of children’s rights, youth employment and disability programs implementations in the organization.

Managing People and Financial Resources

  • Assist the DND in creating and strengthening strong collaboration and integration between departments based at National office and programme locations.
  • Assist identification of potential partner organizations for and preparation of MoU for effectively implementation of projects;
  • Support on maintaining and establishing contacts among local partner organizations, training institutions, youth associations and government offices, private sector and others
  • Joins relevant networks, forums, platforms, campaigns, working groups and advocates on behalf of the DND.
  • Communicate and negotiate with clients, donors, customers and supervisors
  • Assists the development of terms of reference for seeking consultancy engagement and partnerships

Safeguarding

  • Responsible for taking part in awareness-raising sessions and capacity-building training in relation to Child Safeguarding and Prevention of Sexual Misconduct Regulation to prevent and protect children, young people, programme participants and co-workers from all forms of abuse, abandonment, exploitation, violence, discrimination and harassment;
  • Support children, young people, programme participants and co-workers to make them understand the Child and Youth Safeguarding /Sexual Harassment Exploitation and Abuse risks and protection mechanisms;
  • Responsible for reporting any Child and Youth Safeguarding /Sexual Harassment Exploitation and Abuse and Asseset protection , allegation or incident immediately, following the reports should be made to the designated team;
  • Responsible for showing their behavior and all relationships are based on the Sexual Misconduct Regulation, Child and Youth Safeguarding Policy and regulation, Code of Conduct, Anti Fraud and Anti Corruption Regulation and Good Management and Accountability Quality Standards

Must Criteria

Education:

  • B.A. in Economics, Sociology, Social work, Project management, Business Administration, Marketing, Development studies or other relevant field./ MA/MSc in Project management, Development studies, Economics, Sociology, Social work, Business Administration, Marketing, or other relevant field

Experience;

  • Minimum 5 years relevant working experiences
  • Experiences in working with the target group, i.e. vulnerable children, youth, families and community
  • Demonstrable expertise in children, youth and family development in donor funded projects
  • Good command of English, written and spoken
