We are looking for: The Program Coordinator will provide comprehensive technical, programmatic, and administrative coordination for SRH department and the projects under it, namely Smart Start scale-up, DMPA-SC/Self-Injection (DMPA-SC SI), HPV Vaccination, Smart Pathways, SAHQI and upcoming RMNCH projects and related quality improvement activities. Supervised by the department head, the role ensures effective planning, coordination, reporting, documentation and communication across internal units, regional offices, government counterparts, and donor partners including documentation, archiving and sharing of learnings. The Program coordinator will play a critical role in program planning and review, workflow alignment, procurement facilitation, donor/government reporting, and documentation, thereby ensuring program efficiency, integration, and accountability.

Your contribution: Key Roles and Responsibilities

1. Program Planning and Coordination

• Compile annual, quarterly, monthly departmental plans and ensure alignment with organizational and donor priorities.
• Coordinating with program leads on the preparation of annual departmental work plan and budget preparation, ensuring timely consolidation, review, and submission.
• Facilitate planning and review sessions (virtual and in-person) and follow up on action items to ensure accountability.
• Coordinate workflow among different units to create alignment, integration, and synergy in program implementation.

2. Performance Review and Reporting

• Compile program updates, activity reports, and meeting notes for internal and external use.
• Coordinate the timely preparation and submission of monthly updates to global teams, donors, and government stakeholders.
• Lead the consolidation of inputs for donor and government reports, ensuring quality, completeness, and accuracy.
• Monitor departmental performance against MBOs (Management by Objectives), facilitate reviews, and provide feedback to managers.

3. Communication, Correspondence, and Documentation

• Facilitate communication and correspondence between the department, other units, regional offices, and external stakeholders.
• Set up schedules for internal and external meetings, take minutes, circulate decisions, and ensure secure documentation and archiving.
• Maintain proper filing systems for program reports, communications, and donor/government correspondences.
• Serve as the focal point for consolidating and sharing departmental updates.

4. Technical Leadership & Interdepartmental Facilitation

• Facilitate discussions and technical coordination between the SRH department and support departments (finance, procurement, M&E, operations) to enhance program efficiency.
• Support cross-unit collaboration and resource leveraging for integrated program implementation.
• Assist in joint supportive supervision, program review meetings, and learning sessions with internal teams, government, and donor stakeholders.
• Facilitate alignment and integration of technical activities across units and projects.
• Support leverage and collaboration efforts to ensure resource efficiency and program effectiveness.
• Assist in compiling evidence, lessons learned, and best practices to inform program improvement and advocacy.

5. Administrative and Procurement Support

• Facilitate annual procurement planning for the department and communicate with relevant support units.
• Ensure complete, accurate, and timely requests for procurement, fleet, tickets, and logistical needs for internal and external stakeholders.
• Facilitate settlement of advances and financial requests in collaboration with finance and operations teams.
• Support venue selection, bookings, and logistical arrangements for meetings, workshops, and training events.

6. Stakeholder Engagement and Support

• Coordinate with government counterparts to ensure timely responses to requests, compliance, and reporting.
• Serve as a departmental focal point for scheduling and facilitating meetings between central and regional teams.

• At least four (4) years with a master’s or six (6) years of experience with a first degree in public health, population studies, project management or relevant disciplines.
• Progressive experience in program coordination/management within health, SRH or related or relevant skills in program planning, reporting, and documentation.
• Excellent coordination, facilitation, and communication skills.
• Ability to manage multiple tasks, meet deadlines, and maintain high-quality work.
• Proficiency in MS Office Suite and program management tools.
• Fluency in English (written and spoken); knowledge of local languages is an advantage.
