Job Description

Purpose of the Job

The Program Assistant provides direct operational and program support to the Chief Commissioner, ensuring the smooth day-to-day functioning of the office. The PA coordinates schedules, correspondence, meetings, travel, and reminders, working closely with the Chief of Staff, Executive Assistant, Chief Protocol Officer, and other staff to enable the Chief Commissioner to focus on leadership and strategic priorities.

Key Responsibilities

  • Manage the Chief Commissioner’s daily schedule, including reminders, updates, and follow-ups.
  • Respond to emails, letters, and messages addressed directly to the Chief Commissioner, ensuring timely action.
  • Arrange and coordinate meetings, including scheduling, sending requests, and preparing necessary materials.
  • Liaise with the Executive Assistant and Chief of Staff to ensure meetings, tasks, and priorities are coordinated.
  • Coordinate with the Chief Protocol Officer on visits, official events, and ceremonial engagements as required.
  • Ensure the Chief Commissioner’s office is organized, tidy, and ready for work.
  • Assist with domestic and international travel arrangements, including transport, accommodation, and itineraries.
  • Track and follow up on requests, instructions, and action items arising from meetings, correspondence, or daily tasks.
  • Maintain close communication with office staff to ensure smooth workflow and task completion.
  • Handle sensitive information with discretion and maintain professionalism at all times.
  • Perform other operational or support tasks assigned by the Chief of Staff/Chief commissioner to ensure smooth day-to-day functioning of the Chief Commissioner’s office.

 

Qualification and Experience

Education
  • MA/BA Degree in Public Administration, Management, International Relations, or related fields.
Experience BA Degree:
  • Minimum of four (4) years of relevant professional experience.

MA Degree:

  • Minimum of two (2) years of relevant professional experience.
  • Experience supporting senior public officials, NHRIs, or public institutions is an advantage.
Other Requirements
  • Knowledge of Amharic and English; knowledge of additional local languages is an asset.
  • Proficient in office productivity tools, email, and calendar management software.
  • High integrity, discretion, tact, and professionalism in all program and operational support functions.
