Operation Support Coordinator- GPE-SFP/CCACE

TEAM/PROGRAMME:  GPE-SFP/CCACE

ROLE PURPOSE:  

To assist Addis based GPE-SFP/CCACE team by providing Procurement and logistics related support; follow-up and support admin related tasks of the project.

SCOPE OF ROLE:

Reports toGPE-SFP Director

Dimensions: GPE-SFP/CCACE has become operational in November 1, 2022.  The primary mission of the project is to reach 209,700 pri-primary and primary school children residing in 16 rural woredas of Afar, Amhara, Oromia, Sidama, SNNP and Somali regions through its school feeding program. It anticipates to support 578 schools in this program

KEY AREAS OF ACCOUNTABILITY:

  • In consultation with the Nutrition and School Feeding Specialist and in coordination with the supply chain department of SCI, the procurement coordinator will work in raising  procurement request
  • Carry out the bidder selection process:
  •  Play  a coordination role  in  dispatching and  transportation of food and non- food items
  • Work out with suppliers and  transporters to select and facilitate  the route of the transportation
  • Communicate the warehouse team in advance on the date the food item dispatched and collaborate with warehouse team, fleet and suppliers
  • Make alert follow up on payment made to the  supplier, financial posting is made to the project account within the expected time range;
  •  Proactively follow-up all the project procurements both  food and nonfood  items
  • Manage and support workshops, trainings of the project through raising procurement request for booking workshop venue and invite participants,
  • Visit project operational  area and work in collaboration with nutrition specialist
  • Trace  the quantity of food item available at the FO level and plan ahead of time to procure
  • Keep the record of good receiving  verification  document ( from government / SCI FO ) before the payment is made to the transporter;
  • Support the project monitoring  and evaluation  tasks through  collection of routine class attendance, Meal attendance , IPTT, monthly narrative reports from FOs;
  •  Support the food reconciliation process will be made periodical  in collaboration  with nutrition specialist  and FO project manager ;
  • Take part  in the project regular meetings, take note on the procurement related assignments and   provide food item procurement status  update to FOs
  • Ensure the application of policies and processes is conversant with the donors’ policies if applicable.
  • In consultation with the Procurement Manager, establish mechanisms to monitor compliance.

MINIMUM QUALFICATION, EXPEREINCE, COMPETENCIES

  • Bachelor degree in an area of Supply Management, Marketing  or related discipline
  • Recommended a minimum of 5 years’ experience in Supplies Management and working in an NGO environment handling similar roles
  • Strong organizational, electronic information management and presentation skills and experience.
  • Highly developed interpersonal and communication skills
  • Good cultural awareness and ability to work well in an international environment with people from diverse backgrounds and cultures
  • Ability to present complex information in a succinct and compelling manner
  • Ability and willingness to dramatically change work practices and hours, and work with incoming surge teams, in the event of emergencies
