Position: Officer Manager/Receptionist, East Africa Regional Office

Reports to: Deputy Country Director, East Africa Regional Office

Responsibilities and Duties:

  • Greet clients and visitors with a positive, helpful attitude.
  • Assisting clients in finding their way around the office.
  • Answering phones in a professional manner, and routing calls as necessary.
  • Manage office supplies such as stationery, equipment and furniture.
  • Take care of the duplication & copying of materials
  • Maintain office services as required.
  • Prepare, organize and minute internal meetings, workshops, trainings, etc.
  • Facilitate information exchange between the project/program staffs, work partners and other stakeholders.
  • Assist in setting up meetings with internal and external partners.
  • Make travel arrangements and administrative follow-up in accordance with CIPE rules and regulations.
  • Book flights for duty trips of all colleagues within Ethiopia.
  • Assist concerning procurement and contract matters.
  • Compile weekly, narrative reports to the Director, East Africa Regional Office
  • Adhere to appropriate office procedures,
  • Collecting & facilitating payments for staffs insurance claims
  • Oversee filing and clerical duties as needed.
  • Perform other duties as assigned by the Deputy Country Director, East Africa Regional Office.

Qualifications:

  • Minimum of college diploma or equivalent in Office Management/Communication or Marketing or any related field.
  • Minimum of one-year experience in office management or related tasks.
  • Strong organizational, interpersonal, and communication skills.
  • Ability to handle multiple, detail-oriented tasks simultaneously with limited supervision in a fast-paced environment.
  • Proficiency in MS-Office, specifically Word, Excel and Outlook.
  • Fluency in professional written and spoken English and Amharic
  • Ability to work in a team environment
