Job Description

While performing the duties of this job in the field, he/she may be exposed to precarious settings under high-security risks and/or very basic living conditions and outside weather conditions, as well as to infectious diseases.

Duration: 12 months, with the possibility of an extension

Essential requirements

  • Degree in Supply Management, business and economics studies, or other related fields.
  • At least 2 years of working experience in Ethiopia as a Logistician
  • Knowledgeable in Microsoft Word and Excel applications
  • Experience in handling logistics and procurement
  • Effective communication skills, both in written and verbal forms in order to establish effective relationships with a wide range of audiences, including at a geographical distance
  • Ability to think and act fast
  • Good knowledge of Oromifa and English (written and spoken) is essential.
  • Previous experience in working with International NGOs.
  • Good reporting skills.

Work Context

CESVI is a secular and independent humanitarian organization, founded in Bergamo, Italy in 1985. CESVI works in 23 countries across Africa, Asia, Latin America, and Europe, supporting the most vulnerable populations in the promotion of human rights, in the achievement of their aspirations, for sustainable development, and in response to the most severe emergencies.

CESVI is registered in Ethiopia since 2018 and has been working in refugee camps in Tigray and with pastoralist communities in Oromia. In 2022, CESVI started operations in Amhara (COVID-19 prevention measures and income-generating activities for people with disabilities in conflict-affected areas), Harar, and Dire Dawa (promoting socio-economic integration of people on the move and potential migrants, with a focus on people with disabilities, along the Eastern Ethiopian migration route) and Beninshangul-Gumuz (in the Bambasi refugee camp). In May 2023, CESVI will start the project “Humanitarian / Development / Peace Nexus nelle comunità agropastorali sfollate e residenti nel Borena – Oromia (HUDEPE Borena)” – AID 12470, funded by the Italian Agency for Development Cooperation.

KEY AREAS OF ACCOUNTABILITY:

Project Delivery

· Coordinates to all units for timely program implementation.

· Accountable for the compliant processing of all procurement of program supplies, office supplies, training materials, training venues, and others that are needed according to the Procurement Policy

· Responsible for safekeeping the hard copies and soft copies of the procurement packages, asset management forms, fleet management forms, warehousing documents, distribution reports, and other pertinent documents relating to the supply chain. Follow up with suppliers e.g. delivery schedules of goods and other procurement-related concerns. This includes coordinating with the suppliers/service providers for the delivery and transportation of the goods for the program. He/she is also responsible for giving feedback from the program staff to the supplier and vice versa.

· Accountable for the accounting, and maintenance of kitting of goods/equipment for the program. This includes keeping and monitoring warehousing records of all goods that are received and dispatched.

· Identify what goods/equipment needs to be replenished, purchased, and/or dispersed.

· Maintain a file or record of suppliers through the Supplier Database, ensuring that they are compliant with the Safeguarding and Fraud Policies of CESVI.

· Ensures proper documentation of all Supply Chain processes.

· Responsible for creating and maintaining the Procurement Tracker for all procurements.

· Issues assets to staff and tracks assets assigned to staff through the Asset Register.

· Oversees fleet concerns that include the daily movement of the program and support staff, mobilization of program supplies for distribution and for training/workshops, observance of safety & security protocols,

· Responsible to keep recording the log sheet, and follow-up on the movement and the overall condition of the vehicles (rented/property),

· Responsible for keeping track of all supplies received and dispatched and for keeping documentation for these movements intact, including acknowledgment from beneficiaries for distributed goods/kits,

· Ensures the appropriate use and security of assets and equipment assigned to the project office area,

· Performs other duties and responsibilities delegated by the heads within his or her capacity.
