Within delegated authority, the Logistics Officer (FS-6) will be responsible for the following duties:
• Prepares drafts of various, complex logistics plans, for the Office. Prepares drafts of mission specific Standard Operating Procedures and submits to his/her supervisor for review.
• Prepares and drafts budget requirements for the Office and submits to his/her supervisor for review.
• Manages logistics operations including management of logistics assets, material, contracts, and personnel. Ensures timely, accountable, and cost-effective delivery of cargo and personnel.
• Coordinates and provides logistics support to ongoing operations in the Office.
• Ensures that logistics requirements take account of gender-specific needs.
• Participates in technical survey for the office and verification. • Identifies requirements and shortfalls within his/her unit and plans; and manages special logistics operations.
• Keeps required records of logistic activities and level of essential supplies.
• Coordinates logistics activities with procurement, finance, human resources, and other Units. Follows up on legal and financial aspects of logistic support.
• Coordinate and oversee supply chain operations, including transportation, inventory management, and procurement.
• Ensures that accurate and complete accounting, reporting and internal control systems are functioning and that all relevant records are maintained.
• Coordinates logistics operations with other UN agencies, and other organizations.
• Monitors that supervised staff are adequately trained, cross trained; identifies additional training needs to achieve high working standards.
• Guides and supervises new/junior staff.
• Collects and analyzes data to identify trends or patterns and provides insights through graphs, charts, tables and reports using data visualization methods to enable data-driven planning, decision-making, presentation and reporting.
• Ensures that requirements and background information used for data analysis are documented.
• Coordinate repairs, inspections, and preventive maintenance to ensure UN owned properties are in good condition.
• Conduct research and keep upbreast on property laws, regulations, and ensure property operations are complying.
• Identify and address potential risks, ensure property safety, and implement security measures.
• Monitor and analyze logistics performance metrics to identify areas for improvement.
• Monitors performance of the vendors/contractors and takes follow-up action as necessary, to ensure timely delivery of goods and services ordered and in compliance with the terms and conditions of relevant purchase order and contracts.
• Plan and manage logistics schedules to meet customer requirements and minimize costs.
• Maintain accurate records of inventory, shipments, and transactions.
• Maintains relevant internal databases and files; keeps track of any contractual agreements, directs provisioning contracts, etc. and informs affected users of contractual rights and obligations.
• Ensure compliance with local and international regulations governing transportation and logistics activities.
• Performs other related duties as required.
