role PURPOSE

The position holder will be responsible to serve as the first point of contact for Plan International Ethiopia who is responsible to provide front desk reception, Administrative Service, Air ticket service, visitors support and admin petty cash for the organization.

Accountabilities and MAIN WORK ACTIVITIES

Stock Management (50%)

Store items on the right shelves, right location

  • Stock is tidy and organized as per procedures
  • Sign stock in and out document
  • Filing and documentation stock records
  • Ensure warehouse area is clean and tidy
  • Record movement of stuff in/out warehouse
  • Check on fire safety records / protocol
  • Alert on store issues (capacity overload, product, issues)
  • Manage store keys
  • Update documents (Bin card, Stock card, stock register)
  • Report on stock data on a regular basis / make stock data available
  • Administer disposal upon approval
  • Ready stock for inventory and support

Asset Management (35%)

Receipt

  • Physical asset receipt in quality and quantity
  • Asset tagging
  • Asset recording
  • Manage Receipt documentation
  • Report and manage receipt discrepancies

Monitoring

  • Ensure appropriate and traceable filing of documentation
  • Update of assister register
  • Execute maintenance according to schedule
  • Ensure appropriate allocation and identification of assets to individuals
  • Support Program/Emergency Response Areas in asset management

Control

  • Support inventory count- ready physical asset for counting
  • Prepare list of assets + owner + location
  • Provide asset status
  • Report on asset status
  • Escalate assets issues

Lifecycle management

  • Execute disposal / transfer
  • Ensure administrative documentation is in place at disposal / transfer

     Reporting (15%)

  • Providing monthly, quarterly, semi-annually and yearly reports on Stock & Asset.
  • Others tasks can be assigned by the supervisors as required

Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI)

  • Understand and put into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC).
  • Ensure that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in day to day work.
  • Ensure that Plan Ethiopia contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.

TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE

Qualifications/ experience essential

  • Minimum required qualification: Bachelor degree or Diploma in Logistics and Supply Chain Management, or Management or other related fields.
  • Minimum of three years of  relevant experience
  • Training/experience in working with administrative systems and processes;
  • Short term technical training and Creative or analytical thinking;
  • good communication skills;
  • ability to follow instructions accurately and meet deadlines

Qualifications / experience desirable

  • Proficiency in relevant software applications such as Microsoft Office Suite (Word, Excel and Power Point, etc.) and other applications like SAP, ERP
  • Data-entry experience and aptitude.; ability to analyse and report on bulk information

Languages required

  • Fluency in English language is essential
