Job Description

JOB SUMMARY
The Logistics Assistant is responsible for implementing logistics activities to facilitate Medical Teams operations at the field level and assist the Logistics Manager as needed.
JOB RESPONSIBITIES
  • Assist supply chain activities including planning, sourcing, transport, shipping, warehousing, asset management; apply distribution control techniques to optimize stock levels
  • Assist the procurement process in accordance with MTI policies and procedures, in a transparent, accountable, efficient, timely and cost-effective manner, negotiating prices and proposing new suppliers to be validated
  • Assist the implementation of procurement process, including submitting and collecting quotations, in accordance with MTI and donor policies
  • Track vendor contracts and work closely with user departments to ensure effective and efficient implementation; support timely vendor payment by submitting all required documentation in accordance with schedules
  • Assist in annual procurement planning
  • Track all organization equipment and assets in accordance with MTI and donor requirements
  • Conduct occasional monitoring of inventory and assets to verify condition and proper use of property
  • Ensure proper branding on all items in accordance with MTI and donor requirements
  • Assist in planning of office management needs including purchasing of office supplies
  • Conduct local market surveys to gain a full knowledge of the availability and price of local items
  • Collaborate with IT Officer to meet technology needs of organization
  • Support safety and security tasks as delegated
  • Develop and maintain a database of suppliers of goods and services
  • Support safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, Child & Vulnerable Adult protection, and harassment-free workplace policies. Incumbents will remain alert and responsive to any child and adult safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child and adult safeguarding policy and procedures, and conduct yourself in a manner consistent with the Safeguarding
  • Other duties as assigned

PHYSICAL CONDITIONS

This position requires frequent travel to health facilities located in remote areas with very basic living conditions.

Job Requirements

EDUCATION, LICENSES, & CERTFICATION
  • Diploma in Procurement & Logistics, Supply Chain Management, Business Administration, Public Administration, or related field is required
  • Professional certification preferred
EXPERIENCE
  • Minimum 1 years of procurement and logistics experience
  • Experience with donor asset and procurement specific procedures is an added advantage
KNOWLEDGE, SKILLS & ABILITIES
KNOWLEDGE
  • Knowledge of supply chain management including procurement, tendering, contracting, clearance, transport, warehousing, distribution, fleet management and asset management
SKILLS
  • Fairly skilled at using ERP systems to manage inventory logistics
  • Good interpersonal, influencing and negotiation skills
  • Skilled in communication
  • Good computer skills including word processing, spreadsheets, and databases
  • A good command of both written and spoken English and Amharic
ABILITIES
  • Ability to act with integrity and ensure security and appropriate use of assets
  • Ability to complete complex tasks with a high degree of autonomy and responsibility
  • Highly organized with good quantitative ability
  • Ability to maintain detailed records with high accuracy
  • Ability to support MTI Calling and adhere to the MTI Code of Conduct
