Hamlin Fistula Ethiopia (HFE) is a world leading organization committed to the treatment and reintegration of patients suffering from Obstetric Fistula and the training and deployment of qualified midwives to prevent Obstetric Fistula and other childbirth injuries.
HFE which was established in 1974 G.C by Drs. Catherine and Reginald Hamlin has been caring for the women of Ethiopia for almost 60 years. Including our main Fistula Hospital in Addis Ababa we have 5 regional hospitals, rehabilitation and reintegration center and The Hamlin College of Midwives.
We deploy midwives into rural health centers across the country and provide mentoring and other support services to these facilities.

One of our key initiatives, Project Zero, aims to achieve fistula eradication woreda by woreda, ensuring that no woman suffers needlessly from this preventable condition.
We already launched this program in some parts of the country. We also want to ensure this project in Sidama Region, central Sidama zone, Arbeguna Woreda, and in Central Ethiopia, Western Gurage Zone, Gedebano Gutazer Wolene Woreda.

Position Summary
The Admin Assistant will provide comprehensive administrative, human resource, and financial support to Project Zero. The role involves assisting in the day-to-day management of administrative and financial operations, supporting project staff, ensuring smooth coordination between departments, and maintaining compliance with organizational and donor requirements.
Key Responsibilities
Administrative Support
- Manage daily office operations, correspondence, and filing systems.
- Organize project meetings, workshops, training sessions, and travel arrangements for staff and visitors.
- Maintain office supplies, inventories, and service contracts.
- Prepare letters, minutes, and administrative reports as required.
- Ensure timely submission of reports and proper documentation of project activities.
Financial and Accounting Support
- Handle all financial transactions related to Project Zero, including per diem, advances, and reimbursements.
- Follow up on efficient and effective utilization of project funds as per approved plans.
- Collect, review, and submit all financial documents to the Finance Department on time.
- Record and file all receipts, invoices, and financial transactions properly.
- Assist in petty cash management, budget tracking, and monthly expense reporting.
- Making Payments of different procurement transactions as needed.
Human Resource Support
- Support HR functions including staff attendance, leave tracking, and record keeping.
- Liaise with HR, Finance, and Project Zero teams.
- Maintain confidentiality of HR and financial information at all times.
- Perform other duties when assigned by the Project Zero Coordinator and prevention & PZ manger.
About You
Education Requirement:
- BA Degree in Management, Business Administration, Accounting, or related fields.
Work Experience
- Minimum of five (5) years of relevant experience in administrative and financial roles within project settings.
- Experience working with NGOs, development projects, or health programs is a strong advantage.
Skills and Competencies

Job Summary
The Mentor will work to realize that the Hamlin model of Care and the latest global standards of health care will be practiced in the region. A Midwife Mentor must have depth and breadth of technical expertise and experience in the delivery of maternal, neonatal, child, and reproductive health services. In addition, this position requires quality improvement approaches as well as current trends in service delivery, training, and capacity building approaches that are based on scientific evidence.
Major Duties and Responsibilities of Midwife Mentor include the following, but are not limited to:
- Ensure that the program is technically sound, evidence-based, and responsive to the needs of the countries.
- Work in collaboration with the Regional Health Centers, focusing on the project site health centers where Hamlin Midwives are deployed to support aspects of the strategic direction and leadership of the maternal and child health programming guiding linkages and integration within the overall health sector.
- Communicate with the team leader, project coordinator, and project and prevention manager to provide regular updates on progress of achievements against set targets, program challenges and successes, as well as ways forward for ongoing implementation.
- Provide needed technical support for woreda health offices and other stakeholders in the prevention of obstetric fistula, identification and referral of historic fistula patients and facilitate their treatment.
- Actively participate in the Fistula Patient Identification Process, in collaboration with patient identification officer and other stakeholders in awareness creation, strengthen the existing referral system, and facilitate their treatment.
- Submit report of mentorship to the Team leader and to other concerned bodies when necessary.
- Promoting community involvement of midwives’ activities.
- Is Responsible for the implementation and coordination of the Mentorship, facility, and community-based assessment and other project activities.
- Collaborate with the health extension workers and other involved groups in network creation during recruitment of pregnant women to the cohort.
- Participate in baseline assessments, midterm and end-of-term evaluations of the project.
- Travel between health facilities and woreda health office as needed

Job Summary
Reporting to the Project–Zero team leader. The M&E Officer will lead the design, implementation, and operation of project, M&E systems from project initiation to close out. She/he will oversee the monitoring, evaluation, analytics, and reporting of performance and results, providing regular project reports to the Program team Leader. She/he will provide technical leadership and supervise staff experts and oversee data management, analysis, and ongoing training to other staff who participates in the project. She/he will conduct regular project data analysis and identify methods to use results for program improvement. Job Description
- Assisting the project team leader with development of the M&E Plan for the project, including indicator selection, target setting, reporting, database management, and developing M&E and/ performance monitoring plans.
- Lead role in overseeing data collection, collation, storage, analysis, and reporting, ensuring that data is of high quality and audit worthy.
- Responsible for supporting the preparation and review of project reports in collaboration with project team.
- Provide training and mentoring to partners and staff to ensure the implementation of strong M&E systems.
- Work on data management and the database system.
- Communicating with relevant partners (from multiple sites) on data management to support smooth data collection and transfer of information.
- Keeping a log (mapping) of research activities undertaken.

Job Summary
To collaborate and work as a team with PZ team and other stakeholders in the prevention of obstetric fistula, Identification and referral of hidden obstetric fistula patients and facilitate their treatment. Actively participate in project –Zero Fistula Eradication project team activities.
Major Duties and Responsibilities of a prevention Officer includes the following, but are not limited to:
- As a member of the Project-Zero team, coordinate Zonal Health desk, Woreda Health Offices, Health Centers, health posts, and other stakeholders to identify hidden fistula cases, raise awareness creation and strengthen the existing referral system.
- Coordinate activities for patient identification and facilitate treatment in collaboration with the project –Zero team at Yirgalem or Addis Ababa Hamlin fistula center and other partners as per the action plan of the national fistula task force.
- Submit timely report providing details of patient identification, trainings, and other activities.
- Organize training for the Health Center staff and health Extension Workers on fistula patient identification and referral linkage.
- Participate in organizing resources to make sure that individual plans for patient reintegration and livelihood care are appropriately implemented.

Job Summary:
