Intern – Logistics Department (24 Positions)

ORGANIZATIONAL OVERVIEW

The National Election Board of Ethiopia (NEBE), re-established by proclamation No. 1133/2011, is the constitutionally mandated body to conduct elections, organize referenda, and regulate political parties in Ethiopia. NEBE is working to boost its institutional strength with a special focus on the enhancement of human resource capacity. Accordingly, NEBE would like to invite applicants for the Intern Position who meet the following requirements.

Reports to: Logistics Departments

Duty station: NEBE Headquarters, Addis Ababa

Duration: 7 months

Salary: A Stipend to cover some costs

Job Summary

Under the general guidance of his /her immediate supervisor, he/she is responsible for assisting the logistics activities of the company, proper utilization of the company materials, and building strong and effective relationships with work units.

Duties and responsibilities

Coordination, Communication, and Reporting:

• Assist logistics activities, including transportation, warehousing, and distribution to ensure timely and accurate delivery of goods.
• Communicate effectively with internal teams to coordinate logistics operations.
• Communicate effectively with constituencies as to the safe delivery of election materials to all destinations.
• Prepare a daily activity report for work performed during each election cycle.

Warehouse Management:

• Ensure that election materials are kept in safe custody in their proper and secured space so that no damage, theft, or pilferage occurs.
• Assist in executing every warehouse activity as per orders given by the concerned immediate supervisor.
• Follow and ensure appropriate measures are taken during packing and distribution of election materials, such as deployment of security officers, proper handover of materials, safe loading of materials, etc.…
• Collaborate with the warehouse management team to facilitate accurate stock counts and reconciliation.

Transport Management:

• Assist in executing the transportation activities as per orders given by the concerned immediate supervisor.
• Prepare Loading and Issuing documents and file them properly, both in hard and soft copies.
• Actively participate in tracking deliveries from the warehouse to constituencies and polling stations.
• Keep accurate records of the number of vehicles/trucks utilized during each phase of the election cycle.
• Actively participate in materials retrieval from constituencies.

Documentation Management:

• Prepare warehouse management documents and other relevant paperwork
• Ensure accurate record-keeping and filing of logistics-related documents for ease of retrieval and compliance purposes, both manually and electronically.
• Perform all other duties as advised and directed by the immediate supervisor.

• BA Degree in any field of study with no experience.
• Good skills and use of Microsoft Office, particularly Word and Excel.
• Good at writing and speaking English.
• Willingness to work under challenging or constrained conditions and overtime.
