JOB SUMMARY

To provide the day-to-day Medical Team International HR  support in Amhara Field Office to ensure quality health care services for Refuge , internally displaced peoples and host community in Amhara  Ethiopia. This position will be responsible for ensuring proper implementation of HR officer activities and assist in recruitment, benefits, performance management, and staff development.

Essential Duties / Responsibilities:

  • Assist and disseminate requests for local positions through all available networks
  • Coordinates the recruitment process of new staff and manages their induction to the organization
  • Assist in Conducting reference and background checks on possible candidates.
  • Prepares appointment letters and contracts for staff and contractors.
  • Maintains and tracks all personnel records and databases.
  • Acts as administrative liaison between field office in Gondar and Addis Ababa.
  • Assist in disciplinary cases finding and ensure cases are handled according to Medical Team International policy and legal requirements.
  •  Provide support and translation services when needed within the office.
  • Act as the point of contact for HR issues at Amhara Field Office and ensure that all HR paperwork is promptly submitted to Medical Team International Addis.
  •  Ensure that all locally sourced staff and volunteers have valid contracts.
  • Support all other administrative tasks needed in Afar to ensure positive and high impact programs are implemented in a timely and efficient manner. Submit and follow up reimbursement of employee’s medical claim to HR & Admin department in Addis Ababa.
  • Distribute the monthly Time sheet allocation to all field office supervisors and collect international and national staff timesheets (TS) by end of each month from the respective program managers and submit to HR & Admin in Addis Ababa for review. Produce report for those who do not comply with this requirement periodically.
  • Prepares ID cards to new staff in field office.
  • Prepare all the paper work for new employment in Amhara FO project office and submit to HR in Addis Ababa.
  • Follow up the maintenance of staff personnel files for Medical Team International Amhara national staff.
  • Participate in Job interview in the recruitment process.
  • Submit booking request for staff  when ever needed
  • Update and follow up on staff leave balance, share monthly for Field Coordinator and Country HR .
  • Collect any staff grievance & complain, and share Field Office coordinator & HR manager  , In addition identify the root of the complain /grievance  with program Manager
  • Committed to the values and principles of Medical Team International.
  • Ensure the Safeguarding of program participants and employees through
  • Promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, Child & Vulnerable Adult protection, and harassment-free workplace policies.
  • Other duties as assigned.

Compound Beautification:

  • Supervise the implementation of feasible action for the beautification of Medical Team International compounds.
  • Coordinate the team work between the compound supervision role and the logistic department and in improvement of the compound design, with the agreement of the log officer & Program Manager.

Guest Accommodation: (Together with the log team)

  • Coordinate the briefing and the assignment of rooms to guests when they arrive in compound.
  • Provide brief introduction to the guests about the services in the compound explaining the Canteen policy and times, the latrine and shower system and curfew regulations.
  • Plan the implementation of compound hygiene improvement.
  • Ensure camp is kept in a clean, orderly, and sanitary condition. He/she also strictly monitor the solid and liquid waste management of the compound.
  • Work very closely with staff hygiene and sanitation committee to improve the hygienic and sanitation standard of the compound.
  • Work in collaboration with the compound supervisor to improve hygiene standards.

Quality Management

  • Maintain a clean and orderly work area that ensures privacy
  • Monitor monthly Time sheet submission of staffs
  • Support other staff and colleagues to maintain good infection control practices to prevent spread of illnesses within the office and among the staff

Supervision and Reporting:

  • Coordinate the supervision of cooks with the Kitchen committee, cleaners, and compound guards.
  • Complete required paperwork daily for camp operations.
  • Provide regular reports to the coordination and for the monthly report.
  • Staff list ,annual leave balance & time sheet  report share HR  Manager and Field coordinator
  • Performs any other related duties assigned by the Coordinator and HR manager

Additional activities – Perform any other job-related task whenever assigned by immediate supervisor

Location(s): Gondar with frequent travel to field

Work Days & Hours: Monday-Saturday, 40-48 hours/week, occasional weekends and public holidays

Travel: Regular travel to field offices

Job Requirements

EDUCATION, LICENSES, & CERTIFICATION

  • Diploma or above in Human Resource, Management or equivalent

EXPERIENCE

  • At least 2 years’ experience working in HR administration
  • Prior experience working with INGO.
  • Experience with Microsoft Excel.
  • English (written and spoken), Desirable, Amharic and English language proficiency.

WORK CONDITIONS 

  • Staff will be working primarily from the Medical Teams International offices in Amhara  Region  with some travel to field site.
