Role Purpose

The purpose of the role will be responsible to assist HR & OD department by sharing the responsibilities related to ensure all personnel files are well organized and tracked properly.

The intern shall repot to the HR Coordinator in Plan International Ethiopia.

Main Activities of the Intern shall include assisting the Country office, HR & OD department in the following tasks:

  • Organize, label, maintain and arrange properly and safely active and Inactive personal files.
  • Organize inactive files by their respective year and base.
  • Update the active personal file tracking/follow-up sheet up and regularly check.
  • Using the personal file checklist neatly arrange and sequentially organize the current active personal file documents.
  • Arrange and order the personal files based on location and naming sequence.
  • Maintain a central organizational file both in soft and hard copies of active personal files.
  • Scanning all personal file and save on computer.
  • Meet Plan International quality standards for all files.
  • Performs additional duties as per the request of the line manager.

Job Requirements

Education, qualification, knowledge and experience.

  • Bachelor Degree/MA in Management, Computer science, Administration service or related fields.
  • 0 -1 Year relevant work experience required.
  • Recent Graduates – 2019-2021 Graduates are eligible

Skills specifics:

  • Excellent communication skills in English and Amharic language are mandatory.
  • Proficiency in computer application software and MS Office, such as Windows, Word, Excel, Outlook, and Internet. Moreover, easily operating the scan machine
  • Trustworthiness and ability to maintaining strict confidentiality and observing data protection and associated guidelines where appropriate
  • Ability to organize and prioritize several tasks at the same time working in a dynamic environment.
  • Ability to draft letters and presentations in a speedy and correct way in English
