Alight (formerly American Refugee Committee) is an international non-profit organization with its headquarters located in the United States. Alight has provided humanitarian assistance to millions of beneficiaries in 29 countries over the past 40 years, currently reaching over 10 million refugees, IDPs, and disaster-affected communities in 17 countries around the world, helping people regain control of their lives after conflict and natural disasters. Alight maintains full-fledged humanitarian programs in Somalia, Uganda, Rwanda, Sudan, South Sudan, the Democratic Republic of Congo, Pakistan, Thailand, and Myanmar. Alight is currently responding to humanitarian situation in Ethiopia.

The overall objective of the Alight (ARC) in Ethiopia program is to prevent death and alleviate human suffering among affected internally displaced persons (IDPs) in settlements and host communities where we work. Alight has embarked on WASH, Health, Protection, and livelihood activities in Ethiopia and expand to other parts of the Country. Alight is taking a multi-sectoral approach in responding to the severe drought conditions through a range of activities including Health, Relief Commodities and WASH.

The Ethiopia Program of the Alight (ARC) has fully-fledged offices in Addis Ababa, Mekelle, Semera, Amhara liaison offices in Ethiopia. Alight is working closely with national and regional authorities and with several Ethiopia -based international and national organizations to galvanize coordinated lifesaving humanitarian assistance to the people in need.

PRIMARY PURPOSE OF THE POSITION:

By working closely with the HR Officer, The HR Intern will get quality experience that involves meaningful activities and the opportunity to learn and gain practical work experience in the HR field. The HR Intern will support the different sections of HR department on the day-to-day tasks for the smooth accomplishment of the function.

MAJOR/KEY RESPONSIBILITIES

RECRUITMENT & TALENT MANAGEMENT

  • Assist in advertising the job vacancy.
  • Conducting and scheduling assessments (written, interview, etc.).
  • Participating in recruitment.
  • Updating the recruitment tracker every day.
  • Supporting probation follow-up.
  • Following up with new hires to complete HR documents and maintaining their personnel files.
  • Communicate candidates with regret email and ensure that results are communicated.
  • Support in scheduling onboarding programs and follow up with the sector leads for implementation.

COMPENSATION & BENEFITS

  • Maintain updated All types of Leave tracker.
  • Communicate with staff regarding their accrued leave.
  • Support HR officer on collecting monthly timesheets.

TRAINING AND CAPACITY BUILDING

  • Support on facilitating trainings on LEADS.
  • Support on processing training assessment, delivering, and assessing outcome of conducted training.

PLANNING & BUDGETING & REPORTING

  • Support preparing quarterly accrued leave reports.
  • Support on preparing periodic HR Reports/statistics.
  • Issue recruitment status report twice a month.

ADMINISTRATION AND COMPLIANCE

  • Create HR letters such as Offer letters, work experiences as well as prepare fixed-term contracts, contract renewals.
  • Creation of employee personal file (digital and physical files), Filing of all employee records, and ensure HR System updates for all contractual changes (job rotation, position, salary), benefits plan such as insurance and pension plan, personnel transactions such as hires, promotions, transfers, performance reviews, and terminations, and employee statistics.
  • Data reconciliation validating data against hard copy backup and Collect information from the staffs based on the missing documents in their Personal file.
  • Maintain up-to-date staffing lists by program and department; maintain appropriate records and ensure confidentiality regarding personnel activities and personnel data including employment documentation, evaluations, exit interviews and other relevant information. Periodically audit and archive or destroy dated information, including employee and applicant files, in accordance with national law.
  • Maintain updated Probationary period Tracker and make sure confirmation letter is issued.
  • Coordinate the monthly procedure of timesheets for all staff including collection, review and compilation into payroll, training new staff on timesheet procedure.
  • Facilitate contract attestation, social security registration, medical insurance registration, and tax identification submission by coordinating with the HR Officer.
  • Ensure that all HR forms are accurately completed by newly hired staff.
  • Ensure that all staff has Organizational ID.
  • Other appropriate duties as assigned by the HR Officer.

Job Requirements

  • Bachelor’s degree in management, Business management or a related Business & Economics college field.
  • A university fresh graduate (2014 & 2015 EC batch).
  • Recommendation letter from the University.
  • Graduates with demonstrated good character, creativity, honesty, positive attitude, ability to learn and with a recent full medical checkup.
  • Operational knowledge of Microsoft Office software.
  • Fluency in English & Amharic required.
