About MAG:

MAG (Mines Advisory Group) is an international humanitarian organisation based in Manchester, UK, and working in 32 countries. We remove landmines and unexploded ordnance to release safe and productive land for communities, and work to reduce the threat of armed violence by supporting governments to safely manage weapons and ammunition. In 1997, MAG was a co-recipient of the Nobel Peace Prize for our work campaigning for the Anti-Personnel Mine Ban Convention.

MAG is registered and accredited as a humanitarian mine action NGO in Ethiopia and is in the process of establishing a country office and operations focused on responding to the threat posed by explosive ordnance contamination in northern Ethiopia. Initial planned programming will focus on the delivery of Explosive Ordnance Risk Education, working with local partners, and capacity support to national actors. Further scale-up and expansion of activities to encompass survey and clearance operations is anticipated over the coming months.

About the role:

The HR Administrator will be Responsible for providing day-to-day HR administration and operational support to the Ethiopia programme, ensuring HR processes are implemented efficiently and in compliance with MAG policies and Ethiopian labour legislation. The post supports recruitment, onboarding, personnel administration, payroll preparation, attendance management, HR record keeping and general HR reporting under the supervision of the Finance Manager.

About you:

The successful candidate will:

  • Bachelor’s degree in human resources management, Business Administration, Management, or a related field.
  • Minimum of 2 years of professional experience in a similar role, ideally within an NGO or international organization.
  • Experience supporting recruitment, payroll administration, and employee records management.
  • Sound knowledge of HR administration and employment practices.
  • Basic knowledge of Ethiopian Labour Proclamation and HR administration practices
  • Experience supporting office or facility management is an asset.
  • Self-organized, team player, and able to work under limited supervision.
  • Experience with Mine Action Organizations preferred.
  • Good literacy, numeracy, and IT skills (e.g., Word/Excel).
  • Language requirements – English & Amharic Mandatory.

Overview of role:
Responsible for providing day-to-day HR administration and operational support to the Ethiopia programme, ensuring HR processes are implemented efficiently and in compliance with MAG policies and Ethiopian labour legislation. The post supports recruitment, onboarding, personnel administration, payroll preparation, attendance management, HR record keeping and general HR reporting under the supervision of the Finance Manager.

Responsibilities:

Recruitment and Onboarding

Support and coordinate recruitment activities including:

  • Advertising vacancies
  • Receiving applications
  • Scheduling interviews
  • Preparing interview documentation
  • Communicating with candidates
  • Conducting reference checks
  • Preparing employment documentation.

Personnel Administration

  • Maintain accurate personnel files.
  • Prepare employment contracts, amendments and confirmation letters.
  • Ensure employee documents are complete and up to date.
  • Maintain probation and contract trackers.
  • Support contract renewals and end-of-contract documentation.
  • Ensure HR files comply with MAG requirements.
  • Maintain confidentiality of employee information.

Payroll and Benefits Administration

  • Prepare monthly payroll inputs.
  • Verify attendance, leave and overtime records.
  • Update payroll changes.
  • Coordinate with Finance on payroll processing.
  • Maintain payroll documentation.

Attendance and Leave Management:

  • Maintain attendance tracking systems and employee leave records.
  • Monitor annual leave balances and other leave entitlements.
  • Follow up on attendance discrepancies and ensure records are accurate.
  • Generate attendance and leave reports as required.
  • Follow up with supervisors on missing timesheets.
  • Maintain electronic and hardcopy leave records.
  • Produce monthly leave balance reports.

HR Reporting and Administration:

  • Maintain HR databases and employee records.
  • Prepare routine HR reports, staff lists, and workforce data.
  • Support HR audits and compliance reviews.
  • Monitor HR trackers and ensure timely completion of HR actions.
  • Support administrative activities related to HR operations and office management when required.
  • Update staff contact lists.
  • Support donor and internal HR audits.
  • Support filing and document archiving.
  • Assist with administrative arrangements for training and workshops.
  • Ensure employee files comply with Ethiopian Labour Proclamation.
  • Support statutory documentation.
  • Maintain confidentiality.

Performance Management

  • Support probation reviews.
  • Track annual performance appraisal deadlines.
  • Maintain appraisal records.

General Responsibilities:

  • Work within the framework of MAG’s core values.

  • Contribute to other fundraising initiatives where appropriate.
  • Participate in meetings as relevant.
  • Understand and uphold the standards outlined in MAG’s Safeguarding Framework, acting with due care and attention to safeguard the wellbeing of any one that comes into contact with MAG’ s work and reporting concerns if they do arise.
  • Undertake and apply learning from appropriate training and development programs.
  • Undertake any other duties as may be required.
