Position: Finance Coordinator

ROLE PURPOSE:

The Finance Coordinator is under the general supervision of the Area Finance Manager, Provide technical support to Field office   Operations Managers (FOM), Budget Holders (BHs) & Finance Team; to ensure that financial functions within the Field office  are managed with efficient and effective ness: Ensure that Financial reports are made timely and financial information is available any time for users, managers, donors and government officials; that, funds collected by the Field office  are correctly utilized as per donor requirement, the local government directives and SCI rules and procedures without violating the GAAP.

KEY AREAS OF ACCOUNTABILITY:

Planning and Budgeting

  • To provide technical support to Field Operation Manager, Budget Holders in their role development of Project budgets proposals.
  • Prepare annual Master budget and analyze the budget gap of the year and advise the concerned body about the solution.
  • Partake and provide information about administrative cost during preparation of project budget proposals.
  • Check the availability of budget before payment request is affected.

Financial Accounting, Reporting and Control

  • Assist and train the Finance team in analyzing, journalizing and recording of financial transactions.
  • Collect monthly cash flow projects from project managers and summarized finally send timely to Country office treasury unit.
  • Give technical support for budget holders and newly recruited staff.
  • Ensure that the necessary support documents are attached.
  • Ensure timely cash forecast is submitted to CO.
  • Ensure the payments made within the authorized SOD level.
  • Prepare monthly financial reports by using Agresso FMS
  • Ensure that internal control over cash exists in a good status.
  • Ensure that the Aggreso System is working properly in the field office and any interruption or problem is reported immediately to concerned section; also ensure that financial data backups are taken regularly.
  • Respond on time the financial and Award related inquiries raised from line manager and country office Awards, treasury and reporting section.
  •  prepare a schedule for regular supervision from country office in order to ensure that financial management procedures are respected.
  • Ensure that government obligations are settled monthly.
  • Reconcile all balance sheet accounts on monthly bases.
  • Checked & reviewed all financial documents before a monthly financial report is closed.
  • Ensure that a good filing system within the sub office.

Award related Management:

  • Provide technical support for budget holders on the budget utilization.
  • Provide monthly budget verses actual report.
  • Ensure all budget codes are properly used for all transactions.
  • Ensure compatibility of Financial and narrative reports
  • Provide support and information in the process of grant complaint audit to the donor auditors.
  •  Control all Floats are complying with the organization advance policy.
  • Ensure that funds transferred to partner agencies, whether government or NGOs, are properly accounted and documented; And also, to conduct regular supervision for proper fund utilization and documentation.
  • Ensure cash availability throughout the accounting period.
  • Work closely with project managers, operation manager and others support and program staff.

Managing subordinate staff

  • Manage, guide, control and coach the subordinate staff.
  • Plan with them and evaluate their performance.
  • Build team sprit among them (finance section)

QUALIFICATIONS AND EXPERIENCE

  • BA degree in accounting or equivalent combination of education
  • Minimum 4 years of experience in finance.
  • Excellent proven knowledge in MS Office (Excel, Word, Outlook)
  • Familiarity in using Accounting Software’s: Agresso system is preferable.

KNOWLEDGE SKILLS AND ABILITY

  • Strong accounting and analytical skill
  • Willingness and ability to dramatically change work practices, flexibility in working long hours and ability to work with incoming surge teams.
  • Excellent interpersonal, communication and presentation skills.
  • Fluency in written and spoken English.

  • Teams, in the event of emergencies

Desirable

  • NGOs Experience working in a complex multi-culture working contexts in any one of the Support Services Areas and Experience in staff management.

Additional Note

Hardship allowance will be paid 50% of the basic salary for Female staff and 40% of basic salary for Male staff
