Purpose of the position

The Finance Assistant – Treasury will work closely with the Finance Manager – Accounting and Reporting in ensuring that Cordaid Ethiopia has funds and timely receipt and disbursement of funds to implement activities and actions.

Roles and Responsibilities

Cash and bank

  • Process payments /transfer funds to partner organization, Field offices and PBF counter parts on timely manner.
  • Prepare payment voucher, Checks, Cash receipts CPOs, Bank Transfer letters and Withholding receipts
  • Collect Bank statements advises and any communication b/n bank and Cordaid.
  • Keep the office safe, Cash Box keys, cash and other valuable assets in a secure and protected place.
  • Keep records of all cash, bank and advances on excel worksheet, update every day and reconcile cash balance daily.
  • Replenish Petty Cash at the required minimum level to have a smooth cash flow in the office.
  • Handle any emergency cash and keep a separate record of it.
  • Be present at the cash count monthly and whenever needed by Finance Manager, Country Director and official auditors.
  • Disburse or receive authorized cash or bank payments and receipts.
  • Verify payment requests all expenditures have the standard projects number , Account code and Activity number before payment and passing on them to be recorded in to AX.
  • Ensure all income taxes, Pension, withholding taxes, and other taxes are withheld and paid accordingly. Upload the WHT summary and other necessary information in the online government portal.
  • Ensure declaration of goods and service purchase to government through online platform
  • Maintain Provident fund ledger information for staff and provide information as may be required subject to the approval of the Country Director where necessary.
  • Ensure all required documents are attached; calculations are correct, appropriate approvals and reviews made per transactions before payment of any cash or bank payments.
  • Match invoices/receipts with payment vouchers, GRN and other required documents.
  • Maintain all payment vouchers, checks and bank documents
  • Support the finance team in transaction capturing/booking in AX as required.

Compliance

  • Follow all Cordaid and Government procedures, grant compliance and documentation requirements.
  • In close collaboration with the Compliance Officer, Project Controllers and/or Finance and Operations Director ensure knowledge and application of donor financial guidelines applicable across multiple projects and ensure adherence to the same.
  • Ensure that all documents have the appropriate completion documents upon payments and collaborate with all relevant staff to ensure this action is fulfilled in accordance with Accounting guidelines.

Other Tasks

  • Ensure that all files have the appropriate ledgers contained within each file for ease of document tracing and as guided by the Finance Manager – Accounting and Reporting.
  • Support Staff with financial documents upon approval of the Finance Manager – Accounting and Reporting, ensuring that the tracking system in place is adhered to.
  • Follow up of labelling box files in accordance with the file labelling system;
  • Ensure that the documents are kept in a safe and locked cabinet and confidentiality maintained at all times

Attend to other duties as directed and instructed by the line manager

About You

Qualifications required

  1. BA Degree in Finance, Accounting or related field
  2. Minimum 2 year’s experience preferably in NGO environment
