JOB SUMMARY
The Finance and Grants Manager is responsible for managing day-to-day financial operations, grant administration, and reporting functions for EngenderHealth Ethiopia. S/he ensures accurate financial accounting, reviewing and verifying financial documents, budgeting, internal controls, and grant/subgrant management in line with organizational policies, government and donor regulations, and statutory requirements. S/he provides budget variance analysis and financial support to program/project teams and management to ensure effective implementation of project activities.

The Finance and Grants Manager work closely with Director of Finance & Operations, program/project teams, implementing partners, headquarters and other stakeholders to ensure timely reporting, strong financial compliance, and effective management of grants from start-up through close-out.

KEY RESPONSIBILITIES

1) Financial Management

  • Manage day-to-day financial operations including accounting, transaction processing, monthly and annual closing, cash flow monitoring, budget tracking, and financial recordkeeping.
  • Lead annual budgeting and periodic forecasting processes in coordination with program and operations teams.
  • Ensure all financial transactions are undertaken in compliance with EngenderHealth policies, government and donor regulations, and statutory financial requirements.
  • Track budget spending and provide projects leads with periodic budget variance analysis; support corrective actions where needed.
  • Maintain effective internal controls, documentation systems, asset safeguarding, and compliance with audit requirements.
  • Support internal, external, and donor audits by preparing schedules, documentation, and follow-up of audit findings.
  • Monitor financial risks, cash flow, expenditures, and budget utilization; support corrective actions where needed.
  • Serve as focal person for financial systems and timesheet management (e.g., DOVICO), ensuring accurate cost allocation and reporting.
  • Supervise and support finance staff, ensuring effective performance, capacity building, and compliance with procedures.
  • Maintain effective working relationships with banks, auditors, headquarters, program teams, and partners.

2) Grant and Subgrant Management

  • Manage grant and subgrant processes throughout the full lifecycle, including partner identification, due diligence, agreement preparation, implementation monitoring, reporting, and close-out.
  • Ensure grants and subgrants comply with donor regulations, government requirements, and organizational policies.
  • Review partner financial reports, supporting documentation, advances, and liquidation requests for accuracy and compliance.
  • Conduct financial monitoring site visits, compliance checks, and risk assessments of implementing partners.
  • Prepare financial reports, expenditure tracking, and budget variance analyses; highlight over/under spending and recommend actions.
  • Provide technical support and capacity strengthening to partners in financial management, procurement, documentation, and compliance.

3) Financial Reporting & Analysis

  • Prepare, review, and submit accurate financial reports for management and regulatory bodies in a timely manner.
  • Provide financial analysis and interpretation to support program implementation and management decisions.
  • Monitor budget performance and expenditure trends to ensure efficient utilization of funds.

4) Other Duties

  • Oversee inventory and asset tracking, including review of stock reports and reconciliation of discrepancies.
  • Ensure proper documentation, safeguarding, and control of organizational assets and financial records.
  • Support effective use of accounting and financial management systems (e.g., Sage X3, Peachtree or similar).
  • Perform other related duties as assigned by the supervisor or the organization.

REQUIREMENTS

  • Bachelor’s degree in accounting, Finance, Business Administration, Management, or related field.
  • Master’s degree or professional certification (CPA, ACCA) is an advantage.
  • Minimum of 8 years of relevant experience in financial and grant management, preferably in INGOs or donor-funded programs that manage sub granting to local partners.
  • Experience in auditing and donor compliance is required.
  • Experience working with international donors (Foundations, USG, SIDA, EKN, etc.) is an advantage.
  • Willingness to travel to field sites as required.
