Job Description

  •  Reporting to: Finance and Administration Coordinator

Job Summary

The Finance and Administration Officer will support the Finance, Human Resources, Administration, Asset, and Warehouse Management functions of Finn Church Aid. The position ensures accurate financial processing, effective administrative support, and strong compliance with FCA policies and procedures. The role works under the supervision of the Finance and Administration Coordinator and supports smooth office operations during the maternity cover period.

Key Responsibilities

Finance Support

  • Prepare, review, and submit payment requests in line with FCA financial policies and procedures.
  • Ensure proper documentation of financial transactions, including invoices, vouchers, receipts, and supporting documents.
  • Maintain organized financial filing systems (physical and electronic).
  • Support basic budget tracking and financial reporting as assigned.
  • Assist during internal and external audits and ensure compliance with donor and FCA requirements.

Administration Support

  • Maintain and update administrative and staff documentation, including contracts and personnel files.
  • Prepare and process administrative facilitation requests such as travel, accommodation,

Office supplies, and service requests.

  • Support procurement documentation and administrative follow-up.
  • Ensure proper filing and archiving of all administrative documents.

Human Resources Support

  • Support HR documentation, including staff files, leave tracking, and attendance records.
  • Assist with onboarding and offboarding administrative processes.
  • Support other HR administrative tasks as requested.

Asset Management

  • Maintain and update the asset register in line with FCA asset management policies.
  • Support asset tagging, tracking, and physical verification exercises.
  • Ensure proper documentation for asset movement, assignment, and disposal.
  • Assist with periodic asset inventory and reporting.

Warehouse Management

  • Support warehouse and store management, including receiving, storing, and issuing supplies and equipment.
  • Maintain accurate warehouse records, stock cards, and inventory reports.
  • Support periodic stock counts and reconciliation.
  • Ensure warehouse documentation complies with FCA procedures and donor requirements.

Compliance and Coordination

  • Ensure all finance, HR, administration, asset, and warehouse activities comply with FCA policies and procedures.
  • Support internal controls and compliance under the guidance of the Finance and Administration Coordinator.
  • Coordinate with program and support staff to ensure timely processing of requests.

About You

Required Qualifications and Experience

  • Bachelors degree in finance, Accounting, Business Administration, or a related field.
  • Minimum of 3 years of relevant experience in finance, administration, asset, or warehouse management (INGO experience preferred).
  • Good knowledge of compliance, internal controls, and documentation standards.
  • Experience in payment processing, asset tracking, and warehouse or store management.
  • Strong organizational and record-keeping skills.
  • Proficiency in MS Office applications (especially Excel).
