 Overall Purpose

Working closely with the Country Director and Programme and Partnership Manager and The Donkey Sanctuary UK (TDSUK), the Finance and Administration Manager will ensure that the Donkey Sanctuary Ethiopia is compliant with organisational and national policies and procedures. This includes analysing, supervising, and reporting on financial activities as well as to provide advice and guidance to management on future financial plans. To work with the Ethiopia team to ensure that HR policies and administrative procedures are legislatively compliant, efficient and effective.

Main Duties and Responsibilities

  • Manage an efficient and consistent office accounting operation, ensuring all accountancy procedures are carried out in line with local legislation and Charity policies with accuracy and integrity of all data processed;
  • Prepare, produce and process detailed annual budgets and regular re-forecasts aligned to financial accounting systems and processes;
  • Continually review and develop finance processes and procedures to support the effective operation of all parts of the Ethiopia office;
  • Carry out all office financial transactions, along with its necessary documentations, including staff payroll processes and updating the cashbook;
  • Monitor cash flow for the Ethiopia office and report any concerns;
  • Prepare end of year accounts for in-country external audit and to the UK finance team within the timeframes set out by TDSUK;
  • Periodically report on the financial health of the Ethiopia office and work with UK finance team to present accurate and timely financial and management information to the Director of Finance UK;
  • Assist the Country Director and Programme and Partnerships Manager in the day-to- day management of the Programme and in the annual planning and budgeting process;
  • Collaborate with the UK Finance Business Partner to implement finance policies including existing and new grants;
  • Support the Ethiopia Director to ensure compliance with organisational and national policies and procedures by managing and maintaining a Policy and Compliance Framework and action plan;
  • Support the Ethiopia Director to ensure compliance with policies relating to HR policies and procedures, Safeguarding, Health, Safety and Security;
  • Manage the finance, human and physical resource of the Donkey Sanctuary operations in Ethiopia which includes day to day supervising administration staff.
  • Ensure asset registry and its regular inventory as required;
  • Keep up to date with labour and finance laws nationally to ensure institutional compliance, including statutory accounting and tax issues;
  • Carry out any other reasonable duties as requested.

 Hours

37.5 hours per week; as the Ethiopia Country Programme is a multi-site 7-day operation and there may be some requirement to work flexibly to meet the needs of the charity. The role may require occasional travel within Ethiopia.

 Location

Based at The Donkey Sanctuary, Ethiopia Addis Ababa Office. Opportunity for a flexible arrangement may be discussed on appointment, however 3 days attendance at the office will be required. There may be occasions when the post holder may be requested to work at another location within Ethiopia where our Programme works considered reasonable by the Charity.

Note: To reflect any changes within the Charity during the next few years, the scope of this role will be regularly reviewed and may evolve to meet those needs. Any changes will be agreed in advance with the post holder and confirmed in writing.

Job Requirements

Essential

  • University degree in accounting or relevant subject and / or Certified Public Accountant Part 2 (or equivalent) completed;
  • Demonstrable experience in accounting and financial management of an organisation based in Ethiopia, preferably in the NGO sector;
  • Demonstrable experience in managing HR and the administrative function of an organisation based in Ethiopia;
  • Fluent in English, both written and verbal;
  • Strong organisational skills and the capacity to analyse and prioritise needs;
  • Able to work under pressure to meet regular and timebound deadlines;
  • Knowledge of financial/accounting report and data mining tools;
  • Strong demonstrated use of Excel, Word and PowerPoint;
  • Ability to work and effectively communicate with senior-level staff members;
