Job Description
Background
Chemonics UK is implementing the Yemen Flexible Funding Mechanism (YFFM) programme. As part of this programme, we are delivering high-quality events that require careful coordination, adaptability and sensitivity. While notable successes in event planning and delivery have been achieved, continuous improvement is essential to ensure effectiveness, efficiency, and alignment with strategic objectives. This review seeks to strengthen event planning and execution by refining internal processes, clarifying roles, and building capacity where necessary.
Purpose
To engage an experienced events management consultant who will:
- Review current end-to-end event management practices and integrate lessons learned.
- Map team skills and capacities to identify gaps and overlaps.
- Develop a practical and actionable roadmap for improvement.
- Produce a standardised toolkit including checklist, templates and guide for future events.
Scope of Work
- Review Current Practices
- Assess end-to-end processes: planning, coordination, delivery, and post-event follow-up.
- Identify pain points:
- Unclear PM roles,
- Overstaffing or misallocation of resources,
- IT preparedness gaps
- Facilitation and engagement challenges
- Document/product management inefficiencies
- Logistical shortcomings.
- Identify strengths (e.g., technical support, security briefings and protocols) and areas for improvement.
- Map Team Skills and Capacities
- Evaluate roles and responsibilities of staff involved in event management.
- Identify overlaps, gaps, and capacity-building needs.
- Recommend clearer role delineation and coordination structures.
- Develop Roadmap for Improvement
- Provide a step-by-step plan to strengthen event planning and delivery.
- Address key areas: project management leadership, IT preparedness, facilitation quality, logistics, and cost-effectiveness.
- Suggest training, mentoring, or external support where needed.
- Create Checklist and Guide for Future Events
- Develop a standardised checklist for pre-event, during-event, and post-event phases.
- Include templates for run of show, agendas, packs, communiques, name cards, and IT run-throughs.
- Produce a concise guide/manual to ensure consistency and quality.
Deliverables
- Assessment Report (summary of practices, strengths, and gaps).
- Team Skills Map (roles, responsibilities, and capacity needs).
- Improvement Roadmap (prioritised plan with timelines).
- Events Management Toolkit (checklist, guide, and templates).
Methodology
- Document review, interviews, and debriefs with staff.
- Comparative analysis of best practices in similar contexts.
- Collaborative drafting of roadmap and toolkit.
Duration
- 4 weeks total:
- Weeks 1–2: Review and assessment.
- Week 3: Draft roadmap and toolkit.
- Week 4: Final deliverables and presentation.
Consultant Profile
- Proven expertise in international event management, preferably in development/humanitarian contexts.
- Experience in diagnosing organisational pain points and designing practical tools.
- Strong facilitation, and stakeholder engagement skills.
- Ability to deliver under tight timelines and work collaboratively with diverse teams.
