Parallel to technical competence, recruitment & selection, hiring decisions will give due emphasis to assessing candidates’ eligibility thorough background checks, police clearance, and professional reference check processes.

JOB SUMMARY

The Data Entry Clerk will contribute to the calling of Medical Teams Interantional by collecting and recording of high-quality MEAL information at the health center level with the supervision of MEAL officer and PHCU team leader. The Data Entry Clerk will handle inputting the health service data into the established tracking system and aiding the PHCU team leader in completing both internal and external reports.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Implementing M&E tools for planning, monitoring, evaluation, accountability, and learning, ensuring alignment with Medical Teams policies and standards.
  • Assist health centre staff in the data collection process, providing support to ensure the use of proper M&E tools such as registration books, tally sheets, and other necessary documentation.
  • Support the case team leads by inputting weekly and monthly data into the existing systems, ensuring timely and accurate data entry.
  • Distribute M&E tools and materials (e.g., registration books, tally sheets) to ensure that all necessary resources are available for proper data collection across all service areas.
  • Monitor the completeness of registrations across all service areas, ensuring no data gaps or discrepancies.
  • Process collected data to ensure quality, accuracy, and integrity in line with project requirements and Medical Teams standards.
  • Apply rigorous data validation checks to ensure that all data entered in the existing system is accurate and reliable.
  • Support the compilation and sharing of data reports, providing program staff with the necessary data to guide decision-making processes.
  • Assist in troubleshooting and resolving issues with databases to ensure smooth and efficient data management.
  • Monitor and ensure the implementation of systems, processes, and tools related to M&E collection, ensuring consistency and quality in reporting.
  • Support the preparation of internal and external reports, compiling health facility data to reflect activity indicators that guide decision-making, demonstrate accountability to beneficiaries and stakeholders, and share lessons learned.
  • Assist in conducting beneficiary interviews, focus group discussions, patient satisfaction surveys, and quality improvement projects in collaboration with the PHCU team leader.
  • Support in providing data for program staff to enhance decision-making and ensure transparency, accountability, and the demonstration of project impact.
  • Ensure data storage and systems for sharing areset up to protect confidentiality of personally finding beneficiary data and adhere to generally accepted principles for data protection.
  • Contribute to the establishment of an effective complaints, accountability, and response mechanism to enhance feedback, trust and confidence with beneficiaries

  • Support health centre staffs in producing success stories
  • Collaborates with Medical Teams staff in health facility and field office for data sharing, reporting, and quality improvement
  • Coordinate with Field MEAL officers to ensure routine weekly and monthly data collection on timely manner
  • Support in integrating accountability into program implementation, monitoring, evaluations, recruitment, staff onboarding, training, and performance management, as well as in partnership agreements and reporting.
  • Support safeguarding of program participants and personnel through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, and Child & Vulnerable Adult protection policies and sexual harassment policies

EDUCATION, LICENSES, & CERTIFICATIONS

  • Diploma or bachelor’s degree in health informatics, IT, Statistics, Social Work or other related fields

EXPERIENCE 

  • 2 years and 1 year  professional experience for Diploma and Bachelor, respectively. Experience in humanitarian work and health care industry is preferred
  • Experience working with INGOs is an added advantage
