Job Description

BACKGROUND:

The Ethiopian Agricultural Transformation Institute (ATI), formerly known as the Agricultural Transformation Agency (ATA), is a strategy and delivery-oriented government institute created to help accelerate the growth and transformation of Ethiopia’s agriculture sector, which is a key contributor to the country’s GDP, exports, and workforce. The ATI’s work is center on improving the livelihoods of smallholder farmers (SHFs) across the country for improved income, inclusiveness, resilience, and sustainability.

The ATI works to transform the agriculture sector in Ethiopia by conducting policy and analytical studies, providing technical implementation support and capacity building, coordinating.  platforms to better integrate partners and projects and designing and directly leading several innovative/pilot interventions. The Institute joins forces with various stakeholders, including policymakers, researchers, farmers, and development partners, to support the implementation of agricultural development programs and initiatives. In addition, the ATI collaborates with national and international partners to facilitate knowledge exchange and learning opportunities. The Institute plays a crucial role in generating and disseminating information to support evidence-based decision-making in Ethiopia’s agricultural sector.

Job Summary:

The Administrative Assistant will provide essential administrative support to the DREAM Project team, ensuring smooth coordination and efficient operation of project activities. This role involves managing correspondence, organizing meetings and documentation, supporting data collection and reporting processes, and facilitating communication among project stakeholders, including government agencies, development partners, private sector actors, and community representatives. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively in a dynamic, cross-sectoral environment.

Key Responsibilities:

Administrative Support:

  • Manage day-to-day administrative tasks including handling correspondence, scheduling meetings, and maintaining project files and records.
  • Assist in preparing agendas, minutes, and reports for project meetings and workshops.
    Support logistical arrangements for project activities, workshops, and stakeholder engagements.

Communication and Coordination:

  • Serve as a point of contact between project team members, government agencies, private sector partners, and development partners.
  • Facilitate effective communication flow within the project team and with external stakeholders.

Data and Documentation Management:

  • Support data collection, entry, and management processes for project monitoring and evaluation.
  • Assist in the compilation and formatting of project reports, presentations, and other documentation.

Support in Policy and Regulatory Activities:

  • Aid in organizing documentation related to mini-grid policies, regulations, and licensing procedures.
  • Support the dissemination of policy updates and regulatory guidelines.

Capacity Building and Event Support:

  • Assist in organizing training sessions, capacity-building workshops, and stakeholder meetings.
  • Prepare training materials and logistical arrangements as needed.

Miscellaneous Tasks:

Perform other administrative duties as assigned by the Project Manager to support project activities.

Required Qualification, Competencies and Experience:

  • Education: Diploma or bachelor’s degree in administration, Office Management, Business Administration, or a related field.
  • Experience: Minimum of 6 years of relevant experience for Diploma  or 1 years for Bachelor’s Degree , preferably in administrative roles within development projects or government institutions.
  • Strong organizational and time management skills.
  • Excellent communication skills in English; proficiency in Amharic is advantageous.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with data management tools.
  • Ability to work independently and as part of a multidisciplinary team.
  • Demonstrated ability to handle multiple tasks and meet deadlines in a fast-paced environment.

Preferred Attributes:

  • Experience working on energy, water, or agricultural development projects.
  • Knowledge of local administrative procedures and stakeholder engagement in Ethiopia.
  • Ability to adapt to changing priorities and work collaboratively across sectors.
