Job Description

 Administration Assistant
The Administration Assistant ensure that the budget of the PM-ERM project is managed as per the donors and government regulations and policies.  The job holder also manages petty cash fund and facilitate administrative issuers for the effective implementation of the project.
Major Responsibilities:

  • Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures and conduct yourself in a manner consistent with Child fund’s Child Safeguarding Policy.
  •  Ensure that project expenditures at field level is managed in accordance with ChildFund’s, the donors and government regulations and policies.
  • Ensure the inventory of grant funded fixed assets is accurate and updated annually.
  • Implement systems, procedures and guidelines for effective grant funds management and tracking.
  • Request budget transfer to the field for timely project activities implementation.
  • Make field level payments during trainings and other activities
  • Coordinate with country office  Emergency Program Manager, and Administration and finance staff to ensure timely, effective and accurate procurement takes place for the project.
  • Ensure that supplies and equipment tracking procedures are in place so that supplies and equipment can be tracked
  • Prepare and deliver timely and regular reports to Snr. Project Coordinator as per finance, admin and logistic rules and regulations.

Terms of Employment: Six Months with a possibility of extension based on proven performance and Budget availability.

Job Requirements

QUALIFICATIONS/EXPERIENCE REQUIRED

  • Comprehensive knowledge of the different elements of supply chain management in humanitarian work.
  • Knowledge of commodity management systems (warehousing, tracking, etc.);
  • Ability to develop work plans and operational budgets.
  • Computer skills (Word processing, database management);
  • Experience in emergency and an INGO is advantageous

MINIMUM EDUCATION AND EXPEIRENCE

  • B.A degree in Accounting/ Finance or Management with two years relevant experience or
