Job Description

Children Believe Fund (CBF) is a child-centered, community-based international development organization devoted to addressing the needs of children, their families and communities by implementing programs that focus on, health & nutrition, WASH, education, early childhood development, child protection sustainable livelihood development, disaster risk reduction and gender equality in different parts of Ethiopia.

Currently Children Believe Fund wants to hire one Admin & Finance Assistant for nutrition focused new project titled Championing Health and Gender Equality (CHANGE) to be implemented in North Wollo Zone of Amhara National Regional State, Ethiopia.

Job Responsibilities: 

Admin & Finance Assistant is responsible for facilitating office communication, correspondences, event planning and implementation, procurement including transport or logistic arrangements and staff security and assist assisting accounting transactions, maintaining cash controls, preparing the payroll and personnel administration, maintaining accounts payable, validation of receipts, vouchers and financial data, and preparing financial reports. He/she also performs secretarial work and proper office documentation.

Key responsibilities include but not limited to: 

  • Assists in event planning and implementation and maintain the office environment by answering phones, receiving messages and/or delivering messages to appropriate persons and arranging appointments for varies events related to the project o/office business.
  • Assists secretarial work of the office: typing, proofreading and editing printing, copying and mailing correspondences, and filing; take and prepare minutes of meetings
  • Undertakes bookings (travel, hotel and conference and training hall) and facilitates payments for travel, hotel accommodation, conferences, workshops and trainings are paid on time.
  • Reminds staff to have completed personnel files, regularly check and ensure that all personnel documents are updated and maintained in the personnel files, and files are done on time and chronologically.
  • Maintains and updates all project staff’s database.
  • Assists timely procurement of project materials/items or supplies, monitors distribution of project items/supplies and reconciliation of the supplies with the warehouse report from logistics.
  • Assists accounting transactions, timely preparation and payment and recoding of payroll, maintaining cash controls, back pay, taxes and withholding tax payments, severance and other related pays due to staff and other expenses related to the office.
  • Assists the project by photocopying and biding and filling documents
  • Keeps filing/document management system for electronic and paper documents related to project’s finance, human resources and administrative issues in an organized manner.
  • Distributes/files all incoming mails and copies of outgoing mails.
  • Undertakes other duties requested by his/her supervisor.

Terms of Employment: One year with possibility of extension

Job Requirements

Minimum Education and Experience Required:
  • Diploma or degree in office administration, accounting or related field
  • Four (4) or more years of experience in office administration, secretary and accounting.
  • Previous experience in an office setting especially in INGOs
Skills, Competencies, Attributes, Traits, and Behaviours:
  • Good organizational skills and record keeping (attention to detail is critical)
  • Good internet skills, including use of e-mail programs and group messaging
  • Fluent in Amharic and good in speaking and writing English language.
  • Computer literate especially MS word and excel, Microsoft office, MS PowerPoint and MS Outlook
  • Ability to follow directions
  • Ability to work under pressure and attention to details
  • Very good communication skills, interpersonal communications and relationship-building,
  • Able to multi-task and on occasion work in high pressure environment with tight deadlines
  • Productive personality traits, patience, sociable, cheerful presence, responsible and courage.
