The Program Officer provides direct support to the National Director in coordinating internal and external engagements, facilitating strategic partnerships, managing executive communication and documentation, and ensuring effective functioning of the Office of the National Director. The role supports linkage with the Africa Union, government agencies, donors, national networks, and HFHI regional/global offices. The position requires strong communication, organizational, and relationship coordination skills

The purpose of this position is to provide Operations and administrative support services to Habitat for Humanity Ethiopia.

Essential Duties:

Key Responsibilities

Office Coordination and Executive Support

  • Manage the daily workflow, planning, and scheduling of the National Director’s office.
  • Coordinate and organize internal meetings, senior leadership team sessions, retreats, and cross-departmental engagements.
  • Maintain up-to-date filing systems, correspondence, and strategic documentation.

External Liaison and Representation Support

  • Serve as the focal liaison for engagement with the African Union, regional platforms, government offices, and strategic partners.
  • Support preparation and coordination of high-level meetings, events, and briefings.
  • Draft minutes, follow-up action trackers, and monitor execution of agreed commitments.

Communication & Documentation

  • Prepare official correspondence, talking points, concept notes, background briefs, presentation materials, and reports for the National Director.
  • Coordinate internal information flows to ensure alignment and clarity across departments.
  • Support development of speeches, newsletters, website content, and partner communication where required.

Stakeholder Engagement & Partnership Facilitation

  • Support relationship-building with donors, peer NGOs, academic institutions, private sector partners, faith and community networks.
  • Maintain a stakeholder map and tracking database to monitor engagement priorities and follow-up.

Governance and Reporting Support

  • Ensure timely collection and consolidation of program updates, progress reviews, performance dashboards, and reports to regional and global offices.

Event, Travel & Logistics Coordination

  • Coordinate local and international travel arrangements, itineraries, and hospitality for leadership and delegations.
  • Support organization of conferences, workshops, and field visits.

Safeguarding

  • Plan activities with safeguarding considerations and share safeguarding expectations with clients.
  • Take proactive mitigation measures to address safeguarding risks

About You

Minimum Requirements:

  • Education:

Bachelor’s degree in public administration, Communications, Political Science, Business Administration, International Relations, Development Studies or related field

Years of Related Experience:

  • At least 3 years of relevant professional experience in administration, stakeholder coordination, program support or communications roles, preferably in an NGO, international organization, or government setting.
  • Strong organizational, planning, and coordination abilities.
  • Excellent written and verbal communication skills in English and Amharic
  • Demonstrated ability to draft high-quality documentation, minutes, and briefing papers.
