JOB TITLE: Logistics Associate – LMS / BMS Manager

DURATION: 12 months
REPORTING LINE: Under the Supervision of Head of Logistics Field Support
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
- Provide support to logistics operations and activities on LMS and BMS, following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.
- Respond to a variety of technical queries/requests for support (e.g. on Last mile and bag marking solutions), following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of client service mind-set.
- Follow up with SO on delivery of commodity for timely confirmation of delivery on LMS.
- Assist in monitoring inventory management processes to track trends and account for the inventory status from source to the beneficiary.
- Assist in the management of commodity accounting data quality and integrity.
- Provide guidance to other support staff to assist them in completing standard tasks to agreed quality standards and deadlines.
- Quality support on LMS and BMS to all SOs.
- Ensure the integration and maintenance of the last mile solution as part of the day-to-day operations.
- Coordinate with each SO Logistics Assistant on the outstanding amount of receipt confirmation.
- Monitor the receipt confirmation in LESS and liaise with field monitors on receipts not yet captured in Last Mile.
- Ensure all SOs LMS Focal points follow up with woreda field monitors on the monitoring of the logistical activities of CPs on the ground around warehouse and commodity management, inventory, damages and disposals, etc.
- Engage in field missions together with field monitors to address critical logistical issues at CP locations, including assessment of storage capacities, transport network, transport challenges.
- Prepare and share weekly reports on receipt confirmations, performance KPIs, field assessment summaries based on reports from field monitors.
- Monitor and flag keys issues, as / when identified on food diversions, food sales in markets, etc. to Logistics and Sub Office Management.
- Program BMS printers according to project and follow up with BMS Focal points at all SO.
- Support all SOs with BMS printer’s configuration and BMS inventory management.
- Support timely planning and delivery of commodities and supplies to authorized partners and destinations.
- Assist in monitoring inventory management processes to track trends and account for the inventory status from source to the beneficiary.
- Support operational pipeline analyses, assessments, and operational planning for all delivery modalities
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE:
- Experience maintaining corporate systems (LMS / BMS) and running queries on ongoing shipments, pipeline information, insurance claims, and food stock.
- Experience in managing inventory.
- Experience conducting operational assessments e.g., storage capacity, transport challenges etc.
- Experience in commodity accounting.
STANDARD MINIMUM ACADEMIC QUALIFICATIONS:
Education: Completion of secondary school education. A post-secondary certificate in the related functional area. University degree in business, economics, communications, supply chain or related field is an added advantage.
Experience: Five or more years of progressively responsible work experience in the related business stream with experience in general administrative work. Previous experience in emergencies is an advantage.
